Overview
The Garden Club of Jacksonville seeks a part-time Administrative Assistant to represent the Garden Club by greeting visitors and helping inquiries made in person, by email, or on the phone. They will also support Garden Club program planning, marketing and business needs. This position reports to the Chief Executive Officer.

Responsibilities

  • Effectively and cordially facilitates the needs of the general public, renters, members, vendors, contractors, and other staff members, such as making appointments for tours, helping people register for programs, or contacting people to renew memberships.
  • Graciously greets visitors to the office and helps them with their needs.
  • Fields phone calls and emails and either answers them, seeks answers for those questions, or forwards requests to the appropriate staff members.
  • Draft and design social media and website posts.
  • Processes, documents, and reconciles ingoing and outgoing payments to facilitate the work of the accountant.
  • Is knowledgeable about the activities of the Garden Club and can answer questions about those activities.
  • Organizes physical and digital files for ease of access by staff members.
  • Monitors social media channels for mentions and responds to queries with guidance from Garden Club Chief Executive Officer.
  • Enthusiastically takes on special projects as required.
  • Helps maintain necessary office supplies by alerting the Chief Executive Officer about shortages.

Requirements

  • Demonstrates methodical organizational skills with great attention to detail and accuracy.
  • Embodies excellent customer service skills.
  • Demonstrates excellent written and verbal communication skills.
  • Is knowledgeable, informed, cordial, and helpful.
  • Is highly ethical and discrete, respects confidentiality and privacy, and avoids gossip.
  • Demonstrates expert skills in Google Drive products and digital file organization, Microsoft Office products, and Adobe Acrobat Pro.
  • Demonstrates knowledge of social media skills.
  • Knowledge of Wordpress content management software is a plus.
  • Dress in business casual attire and occasionally business attire for special events.
  • Office hours are from 9 a.m. to 4:00 p.m. Monday through Friday, with 30 minutes for lunch.
  • Available to work occasional nights and weekends.

Education

Associate in Arts or Bachelor’s degree preferred

Commensurate with experience and qualifications.
