Wildcat is seeking an Administrative Assistant to support the Senior Director and Operations Specialist. In this role, you’ll provide vital administrative and operational support, helping with payroll, billing, scheduling, and office coordination. You’ll keep our systems organized, support staff with day-to-day needs, and ensure smooth business operations.

Responsibilities

Fedcap is seeking a full-time Administrative/Operations Specialist to provide comprehensive administrative and operational support to the Senior Director. This position plays a critical role in ensuring the efficient day-to-day operation of multiple service locations by coordinating payroll, billing, procurement, employee scheduling, onboarding, customer communications, reporting, and general office administration.

The Administrative/Operations Specialist will serve as a key liaison between field operations, management, customers, and support departments, ensuring that processes are completed accurately, deadlines are met, and operational needs are addressed promptly.

Essential Functions

  • Provide administrative and operational support to the Senior Director and management team.
  • Coordinate daily administrative and operational activities to ensure efficient and uninterrupted service delivery across multiple locations.
  • Generate, review, and process invoices for services rendered, ensuring accurate billing codes, rates, supporting documentation, and timely submission.
  • Collect, review, enter, and maintain payroll information, attendance records, PTO tracking, and employee timekeeping data to ensure accurate and timely payroll processing.
  • Assist employees with payroll-related questions, attendance records, and PTO balances.
  • Maintain accurate records, databases, spreadsheets, reports, and filing systems related to billing, payroll, staffing, and operational activities.
  • Compile operational and contractual data required for monthly billing, reporting, and performance metrics.
  • Coordinate and manage procurement activities, including obtaining quotes, preparing purchase requests, placing orders, tracking deliveries, and maintaining purchasing records.
  • Ensure compliance with organizational purchasing policies, budget guidelines, and approval procedures.
  • Conduct daily site check-ins with supervisors and staff to verify attendance, staffing levels, operational readiness, and contract compliance.

Knowledge, Skills, and Abilities

  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accuracy.
  • Experience with payroll, billing, scheduling, reporting, and data management.
  • Ability to analyze information and prepare accurate reports.

Qualifications

Education:
Bachelor’s Degree A+

Experience:
Minimum of three (3) years of progressively responsible administrative or operations support experience, including payroll, billing, scheduling, customer service, and office administration.

OR

An equivalent combination of education, training, and relevant experience sufficient to successfully perform the essential functions of the position.

Pay: $23.00 – $25.00 per hour
