Overview
This vital role offers the opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will be proactive, detail-oriented, and possess a passion for maintaining smooth administrative processes.
Responsibilities
- Call vendors, research materials on where to order and order material.
- Perform data entry tasks using Microsoft Office and use LLM’s/ Chat GPT for task efficiency.
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents to include inputing data into our CRM and create customer files.
- Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
- Handle clerical tasks such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
- Support bookkeeping activities using QuickBooks or similar accounting software for basic financial record-keeping
- Provide excellent customer support via phone or email, addressing inquiries promptly and professionally
- Transporting vehicles to maintenance appointments
- Conduct general office management duties including supply inventory checks and maintaining office equipment to includes stocking shelves of new inventory that has been delivered.
Experience
- Proven office experience or administrative support experience
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and preferred experience in LLM tools
- Familiarity with multi-line phone systems and front desk operations
- Experience in customer service or customer support roles demonstrating excellent communication skills
- Knowledge of clerical procedures such as filing, data entry, proofreading, and calendar management
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively

Pay: $21.00 – $24.00 per hour
