The Administrative Assistant serves as a critical support partner to the EVP/General Manager and Oklahoma leadership team, acting as the front-facing ambassador of LDF while keeping the office running smoothly, professionally, and hospitably. This role blends office management, administrative execution, customer service, and analytical capability, with strong potential for growth and expanded responsibility. Adheres and lives by the LDF TRUE values daily.
Key Responsibilities:
Leadership Support-
- Provide direct administrative and organizational support to the EVP/General Manager
- Support GM priorities, projects, and meeting preparation
- Create meeting slide decks and presentation materials
- Support EAC operations; act as Secretary as needed
- Manage ABLE renewals
- Assist with potential reset drawings and coordination
- Tracking and maintaining metrics/data across multiple departments.
- Support Total Wine administration pricing functions.
- Perform other duties as determined and directed by the EVP/GM
Office & Facilities Management:
- Serve as Office Manager ensuring a professional environment
- Manage office budgets and administrative expenses
- Order and manage office supplies
- Maintain the copy room
- Coordinate conference room scheduling and setup
- Manage mail coordination
- Handle business card ordering
- Manage phone routing
Front-Facing & Customer Service:
- Serve as the first point of contact for visitors and callers
- Maintain a hospitality-first mindset
- Represent the professional front face of LDF
- Administrative & QA Support
- Generate memos, forms, and reports
- Manage gratis sheets
- Provide QA organization and quality assurance support
Employee Support:
- Assist with driver’s license and medical certification card support
- Support employees with payroll and benefit inquiries
Qualifications:
Professional Competencies-
- Strong organizational and prioritization skills
- Strong Customer service acumen with software capability
- Intellectual curiosity and desire to learn
- Proficiency with Microsoft 365 (Excel, Word, PowerPoint, Copilot)
Education/Experience:
- High school diploma and/or some Degree preferred.
Supervisory Responsibilities:
Indirect.
Work Environment:
Normal office setting Monday-Friday from 8:00 a.m. to 5:00 p.m. or as needed. Schedule is flexible depending on business need and completion of required tasks.
Physical Demands:
Requires sitting at a computer for long periods of time. Repetitive hand movements caused by typing. High level of mental/visual effort and good hearing/listening skills required by continuous attention to verbal and written details. Requires ability to regularly move to a different office space to pick up download and print functions. Lifting, carrying, pushing, and pulling up to 5 pounds and occasionally up to 25 pounds.
