We are seeking a highly organized, proactive, and professional Administrative Assistant to provide comprehensive support to our management team in Accra. The ideal candidate will be responsible for managing the MD’s schedule, handling confidential information, dealing with Stakeholders like GFZA, coordinating meetings and communications, and ensuring the efficient day-to-day operation of the executive office.

Responsibilities

 

The Administrative Assistant will report to the Managing Director on daily duties and responsibilities including :

 

• Diary and Schedule Management:

o Manage and maintain the MD’s calendar, scheduling meetings, appointments, and travel arrangements.

o Proactively identify scheduling conflicts and provide effective solutions.

• Communication Management:

o Screen and manage incoming calls, emails, and correspondence on behalf of the MD.

o Draft, proofread, and edit letters, reports, and other documents as required.

• Meeting Coordination:

o Organize internal and external meetings, prepare agendas, take minutes, and follow up on action points.

o Liaise with clients, stakeholders, and senior management on behalf of the MD.

• Travel and Logistics:

o Coordinate domestic and international travel, including flights, accommodation, visas, and itineraries.

• Administrative Support:

o Handle confidential documents and maintain a well-organized filing system (both digital and paper).

o Process expenses and manage invoicing for the MD.

o Conduct research and compile information as needed for meetings or decision-making.

o Liaise with immigration for residence permits and work permits.

o Liaise with GFZA ensuring smooth communication and procedures are followed.

• HR

o Support MD and HR managers in HR related issues

• Project Support:

o Assist with the execution and monitoring of special projects and initiatives led by the MD.

o Track deadlines, deliverables, and ensure timely progress updates.

• Reporting

o Liaise with the various departments to compile monthly reports

o Submit quarterly reports to GFZA

 

Requirements & Desired Experience

 

• Bachelor’s degree in Business Administration, Communications, or a related field.

• Experience supporting C-level executives in a fast-paced corporate environment.

• Knowledge of the Agro industry sector is an advantage.

• Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.

• Excellent verbal and written communication skills.

• French speaking is a big plus. 

• High level of discretion, integrity, and professionalism.

• Strong organizational and time-management abilities.

• Proficient in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with calendar and project management tools.

• Ability to work independently and prioritize workload effectively.

• Flexibility to adapt to changing schedules and urgent matters

This Personal Assistant position is full-time and is based in Accra. The salary is competitive depending on experience and performance. We also offer benefits such as a communications stipend, Tier 1& 2 pension contribution & health insurance and paid leave after a probation period of 6 months. 

 

• 13th month bonus based on individual performance
