Job Title: Membership Coordinator

Job Status: Temp-to-Permanent

Schedule: Full time, M-F

Hourly Compensation (Initial Temporary Period): $20.00

Annual Compensation (When Permanent): $56,000 in addition to excellent benefits

Remote Status: Hybrid, 4 days per week remote and 1 day per week onsite in Bethesda

Office Location: Bethesda (1 day per week)

POSITION SUMMARY

This position reports directly to the Director of Membership Services and supports a wide range of projects related to the maintenance of association management system including data entry, database clean-up, and process improvement. In addition, this role will support membership solicitation, member outreach, and engagement efforts.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists the Director of Membership Services with annual activities including the annual Call for Volunteers program, renewal campaigns, Student Interest Group tracking and renewal, and marketing promotions.
  • Supports the Director of Membership Services by preparing and distributing mailings including monthly membership packages, annual volunteer mailings, and various marketing mailings.
  • Maintains membership database by entering membership applications, updating entries, resetting membership passwords, and monitoring/removing database duplications.
  • Receives, organizes, and follows up with applicants, ensuring membership applications are complete. Prepares and sends monthly new member welcome packet mailings.
  • Prepares and distributes monthly membership approval reporting for the Membership Committee and Board.
  • Works with the accounting department to reconcile membership payments in IMIS and MemberSuite.
  • Digitizes membership applications and saves them to the appropriate archives folders.
  • Responds to general membership inquiries related to applications, receipts, and renewals.
  • Support the development and distribution of monthly Membership committee meeting minutes.
  • Assists with membership material generation and packing for the annual meeting.
  • Engages and assists members and meeting attendees at the annual meeting Membership booth.

QUALIFICATIONS, KNOWLEDGE, AND SKILLS REQUIRED

  • Minimum bachelor’s degree.
  • A minimum of 3 years of applicable work experience in a non-profit membership and marketing role.
  • Must possess exceptional organizational and time management skills, a proactive attitude, and excellent interpersonal skills.
  • Must possess excellent verbal and written communication skills, both oral and written.
  • Must possess a high proficiency in Microsoft Office Suite, Zoom, and SharePoint.
  • Must possess proficient technical capabilities in Association Management Systems (AMS), preferably MemberSuite and IMIS.
  • Must possess and demonstrate proficient prioritization skills and meticulous attention to detail.
  • Must demonstrate consistent professional conduct.
  • Must demonstrate the ability to complete assignments with minimal supervision.
  • Must demonstrate the ability to accurately manage membership data.
  • Must demonstrate the ability to complete administrative tasks with accuracy.
  • Must demonstrate the ability to work collaboratively with staff members across multiple departments within the organization.
  • Must work in the office at least one day a week.
  • Must be able to travel twice annually to staff the exhibit booth

ADA SPECIFICATIONS

This is a largely sedentary position that requires the ability to speak, hear, see, and lift small objects to 20 lbs. Ability to travel domestically occasionally, up to 10%.
