PulseMediaNL is seeking a highly organized and proactive Virtual Administrative Assistant (Remote) to join our remote team. This role is essential in supporting administrative operations, coordinating daily tasks, and helping maintain efficient workflows across departments while working in a fully remote environment.
Responsibilities
- Administrative Support
- Manage calendars, schedule meetings, and coordinate appointments remotely
- Handle email correspondence and maintain organized communication channels
- Perform data entry, document preparation, and file management tasks
- Support day-to-day administrative and operational activities across teams
Communication & Coordination
- Serve as a point of contact between team members and external stakeholders
- Coordinate meetings, follow-ups, and task assignments across departments
- Assist in preparing reports, presentations, and business documentation
- Ensure clear, timely, and professional communication across all channels
Task & Workflow Management
- Track deadlines, assignments, and ongoing administrative responsibilities
- Assist with organizing priorities and maintaining workflow efficiency
- Support project coordination and operational initiatives as needed
- Follow up on pending tasks to ensure timely completion of deliverables
Systems & Process Support
- Use productivity tools, administrative systems, and communication platforms effectively
- Maintain accurate records and ensure data integrity across systems
- Assist in improving administrative workflows and operational procedures
- Follow established processes and contribute to overall efficiency and organization
Requirements
About the Ideal Candidate
- 1–2 years of experience in administrative support, virtual assistance, or a similar role
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- High attention to detail and problem-solving skills
- Ability to work independently and manage priorities effectively
- Professional, proactive, and dependable attitude
- Comfortable working in a fully remote environment
- Familiarity with productivity tools such as Google Workspace, Microsoft Office, Trello, Slack, or similar platforms is a plus
- Experience with CRM or administrative systems is a plus
- High school diploma or equivalent required; additional education is a plus
