Role Description

Spaan is seeking motivated, detail-oriented Verification Officers to support a high-volume candidate verification project. This is a fixed-term, on-site role based in Illovo.

The Verification Officer will be responsible for processing and managing candidate verification applications, validating supporting documentation, capturing and maintaining accurate records, and ensuring verification requests are completed within required turnaround times. The role involves reviewing candidate information, resolving documentation discrepancies, communicating with candidates regarding outstanding requirements, and maintaining detailed verification logs and tracking reports.

The successful candidate will work closely with the verification and operations teams to ensure project deadlines, batch targets, and quality standards are consistently achieved. This position is ideal for individuals with strong administrative, data capturing, and document management experience who thrive in a fast-paced, target-driven environment.

Qualifications

  • Matric Certificate (required).
  • Bachelor's Degree in Administration, Office Management, or a related field (preferred).
  • 1-2 years of experience in administration, data capturing, verification, customer service, or a related role.
  • Strong attention to detail with a high level of accuracy when reviewing and capturing information.
  • Proficiency in Microsoft Excel and other digital systems used for tracking and reporting.
  • Excellent typing speed and data capturing accuracy.
  • Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
  • Effective written and verbal communication skills.
  • Ability to handle confidential information responsibly and maintain data integrity.
  • Comfortable working in a structured, deadline-driven environment.
  • Customer-focused approach with the ability to engage professionally with candidates from diverse backgrounds.

Key Responsibilities

  • Capture, update, review, organize, and maintain candidate information and verification records across internal systems and tracking tools.
  • Process candidate verification applications in line with project requirements, internal procedures, and turnaround times.
  • Review supporting documentation and identify missing, incomplete, or inconsistent information.
  • Communicate with candidates to request outstanding documents and resolve verification-related queries.
  • Maintain accurate verification logs, reports, and project trackers.
  • Support daily administrative activities within the verification team.
  • Assist with meeting project deadlines, verification targets, and quality standards.
  • Escalate discrepancies, risks, or verification challenges where required.
  • Contribute to continuous process improvements that enhance efficiency and accuracy.
