ABOUT THE ROLE

Our client is seeking a highly organized, proactive Virtual Administrative Assistant to support day-to-day firm operations across client services, CAS practices, and internal operations. This role provides high-trust administrative coordination, workflow maintenance, and data organization to enable leadership to focus on strategic initiatives, client relationships, and firm scalability.

DUTIES AND RESPONSIBILITIES:

Leadership Support

  • Monitor and triage incoming email and communications on behalf of leadership, including the CAS Practice Lead
  • Flag urgent or high-impact items for action, and draft responses where appropriate
  • Proactively manage calendars across multiple stakeholders
  • Prepare meeting agendas, materials, and documentation
  • Take detailed notes, track action items, and ensure timely follow-up
  • Coordinate scheduling for internal and client meetings, vendors, and firm initiatives
  • Assist with preparation of practice-level reports, dashboard, and leadership materials
  • Maintain a rolling priority tracker aligned to deadlines, firm initiatives, and leadership goals

Workflow, Systems, & Process Execution

  • Actively collaborate on cross-department and firm-wide initiatives to improve the client experience through the timely delivery of key deliverables, meeting quality standards, and proactively identifying risks.
  • Maintain and organize SOPs, templates, and internal documentation within centralized systems.
  • Reinforce process consistency by ensuring standard workflows and documentation practices are followed.
  • Support cross-functional initiatives aimed at improving client experience and delivery quality.
  • Assist with creation of marketing visuals utilizing Canva o Support video editing in CapCut or Adobe Premiere Pro.

Operational Coordination & Office Support

  • Support practice administration by managing client assignment tracking, coverage plans, recurring cadence, and providing client-facing support with customer service tasks as needed.
  • Assist with client onboarding by coordinating document collection and organizing materials
  • Maintain organized, compliant client files that meet internal standards and industry expectations
  • Track open action items, approvals, and follow-ups to completion.

QUALIFICATIONS :

  • 3+ years of executive, virtual assistant, or senior admin support experience in a U.S. Based professional services business. (Accounting Firm Experience is a plus)
  • Intermediate to advanced Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, OneNote) or Google Workspace (Drive, Docs, Sheets, Slides) required
  • Experience with task, workflow, or project management tools (e.g., Karbon, Smartsheet, Asana, Monday, or similar) preferred
  • Intermediate proficiency in design and video editing software, including Canva, Capcut, and/or Premiere Pro
  • Strong organizational skills with high attention to detail and consistent followthrough
  • Ability to manage multiple ongoing priorities and support multiple leaders in a fast-paced environment
  • Resourceful, problem-solving mindset with the ability to handle non-routine tasks, as well as identify and address issues early
  • Strong written and verbal communication skills with a proactive, service-oriented approach
  • Proven ability to manage confidential and sensitive information

Must-Haves

  • Strong proficiency with Canva, Capcut, Adobe Premiere Pro and MS Office tools

Nice-to-Haves

  • Experience with accounting tools (e,g., QuickBooks Online, Bill.com, Gusto) is a plus.
