Role Overview

As the Growth & Partnership Manager, you’ll be the CEO’s right hand in running day-to-day operations, overseeing the sales and marketing team, leading public relations, and building meaningful professional partnerships with psychologists, pediatricians, schools, and healthcare providers. You’ll also provide executive support, manage special projects, and help optimize internal systems to ensure Mindologi continues to scale efficiently.

This role is primarily in-person at our Encino, California office, with flexibility for some remote or field-based work.

What You’ll Do

Growth, Partnerships & PR

  • Build and strengthen referral networks with clinical psychologists, pediatricians, and healthcare professionals
  • Develop and manage strategic partnerships with schools, clinics, and institutions
  • Oversee and guide the sales & marketing team, ensuring campaigns hit targets
  • Represent Mindologi at events, conferences, and networking opportunities
  • Lead PR & communications efforts (press releases, media outreach, pitching stories, managing interviews, and brand visibility)
  • Conduct market & industry research on trends, competitors, and emerging technology tools to support strategic decision-making

Operations & Executive Support

  • Manage the CEO’s calendar, travel, meetings, and email communications; prioritize tasks to keep focus on high-impact objectives
  • Coordinate special projects and strategic initiatives; track milestones, deliverables, and timelines
  • Assist with cross-functional operations tasks (data gathering, process documentation, internal communications)
  • Prepare agendas, capture key decisions, and follow up on action items for leadership meetings
  • Handle sensitive communications and documents with professionalism and discretion
  • Serve as liaison between the CEO and stakeholders (internal & external), ensuring timely, polished communication

Technology & Systems

  • Support technology coordination: manage company software platforms, AI integrations, and troubleshoot basic tech issues with vendors
  • Help manage digital asset systems (cloud storage, dashboards, shared folders, filing systems)
  • Create executive-level presentations, reports, and documents for stakeholders and partners
  • Support implementation and optimization of CRM, HR, productivity, and finance tools to align with company workflows

Executive & Personal Support

  • Manage the CEO’s professional and personal calendar, ensuring seamless coordination of business meetings, appointments, travel, and personal commitments
  • Coordinate personal errands, reservations, appointments, and administrative tasks as needed to maximize executive productivity
  • Screen, prioritize, and respond to emails, calls, and communications on behalf of the CEO when appropriate
  • Anticipate executive needs and proactively resolve scheduling conflicts, logistical challenges, and administrative obstacles
  • Assist with personal projects, research, event planning, and special requests with a high degree of discretion and confidentiality
  • Coordinate travel arrangements, including flights, accommodations, transportation, itineraries, and expense tracking for both business and personal travel
  • Serve as a trusted gatekeeper and strategic partner, helping the CEO manage competing priorities and optimize time management
  • Handle confidential personal and business information with the highest level of professionalism and discretion
  • Support the CEO in organizing and managing personal and professional correspondence, documents, and records
  • Provide occasional after-hours support for urgent matters, time-sensitive projects, or executive travel needs

What We’re Looking For

  • 5+ years of experience in operations, sales, partnerships, PR, or business development (healthtech, healthcare, or edtech preferred)
  • Proven ability to manage teams and hit growth targets
  • Outgoing, social, and confident in professional networking environments
  • Tech savvy, with exposure to AI tools and platforms (comfortable learning and using new technologies)
  • Strong PR/media experience (press releases, media outreach, brand communications)
  • Highly organized with strong project management skills
  • Excellent communicator with the ability to draft executive-level reports, presentations, and polished correspondence
  • Reliable personal transportation for field meetings and events
  • Passion for mental health access, healthcare innovation, and making a difference
  • Ability to handle confidential information with discretion
  • Previous experience supporting a C-level executive, founder, entrepreneur, or high-growth business leader
  • Exceptional ability to balance both executive business support and personal assistant responsibilities
  • Strong judgment, resourcefulness, and ability to anticipate needs before direction is provided
  • Comfortable operating in a fast-paced, entrepreneurial environment where priorities can shift quickly
  • High level of professionalism, discretion, and trustworthiness when handling sensitive personal and business matters

Job Type: Full-time

Pay: $18.00 – $25.00 per hour
