Duties

  • Manage all administrative tasks related to township meetings, including preparing agendas, recording minutes, and distributing official documents.
  • Oversee financial record-keeping using QuickBooks or similar accounting software, ensuring accurate bookkeeping and timely reporting.
  • Handle front desk responsibilities by greeting visitors, answering multi-line phone systems professionally, and providing excellent customer support.
  • Maintain organized filing systems for township records, permits, and correspondence while ensuring compliance with record retention policies.
  • Assist with calendar management for township officials, scheduling meetings, appointments, and public hearings efficiently.
  • Support planning activities by coordinating permit applications, reviewing documentation for accuracy, and assisting with zoning or land use inquiries.
  • · Assists in the preparation of the agenda, and all necessary information, for meetings of the Board of Supervisors, Planning Commission and other committees.
  • Attends BOS meetings, Planning Commission Meetings, Slate belt COG and any other meetings as necessary.
  • Enters bills, money and deposits in QuickBooks and banking deposits.
  • Assists the Recreation Board with coordination of all events, all purchasing and attendance.
  • Purchasing for the office, Road Department and Rec. Board.
  • Prepare Rec. Board budget for submittal to the Township Manager.
  • Alternate Right to know officer for records requests, Alternate representative for the Tax Committee, Emergency Management Coordinator and Slate belt COG.
  • Distribute and file all correspondence to the appropriate parties and respond to correspondence as directed by the Board or Manager.
  • Prepares and posts legal advertisements which include meeting dates and Bid Specifications.
  • Works with Penn DOT Municipal Representative on annual road bids.
  • Assist with preparation of resolutions.
  • Scheduled building usage, payment, coordination for set up / clean up.
  • Assumes other responsibilities pertinent to the Township’s business at the direction of the Manager and Board of Supervisors.
  • Maintain Resolution and ordinance book and drawer for public copies.
  • Maintain official Minutes book.

Experience

  • Mandatory 5 years experience in Municipal Government.
  • Proven office management experience with strong organizational skills and attention to detail.
  • Demonstrated clerical and administrative experience in a government or municipal setting preferred.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) Quick books, Publisher Google Workspace tools.
  • Excellent phone etiquette skills combined with experience managing multi-line phone systems.
  • Ability to perform data entry accurately while maintaining high levels of proofreading and proofreading skills.
  • Strong time management capabilities with experience handling calendar management and personal assistant responsibilities.

Pay: $60,000.00 – $65,000.00 per year
