About the Opportunity
We are seeking a detail-oriented and customer-focused Scheduler to join a busy ENT (Ear, Nose & Throat) practice. This role serves as a vital connection between patients, providers, and clinical staff by coordinating appointments, procedures, surgeries, and patient communications while ensuring an exceptional patient experience.

Key Responsibilities
Front Office Responsibilities
- Answer incoming calls, screen inquiries, take messages, and provide information to patients.
- Greet and register patients in a professional, friendly, and efficient manner.
- Monitor patient flow and waiting areas, addressing concerns and communicating any issues as needed.
- Provide instructions and answer patient questions regarding appointments, procedures, testing, and pre-operative requirements.
- Review daily reminder call reports and follow up on unsuccessful contact attempts.
- Assist with rescheduling missed appointments and no-show patients when appropriate.
Scheduling Responsibilities
- Schedule patient appointments, diagnostic procedures, and surgeries.
- Coordinate and maintain provider schedules to ensure efficient patient flow.
- Verify patient demographics, insurance information, and authorization requirements.
- Ensure all required documentation, including consent forms and medical information, is completed and available.
- Review appointment instructions with patients and collect applicable co-payments and fees.
- Communicate effectively with providers, clinical staff, and patients regarding scheduling needs and changes.
Additional Responsibilities
- Support a positive patient experience and contribute to patient satisfaction initiatives.
- Participate in quality improvement and performance enhancement activities.
- Maintain compliance with HIPAA, safety, and organizational policies and procedures.
- Complete required annual training, education, and health screening requirements.
- Assist with department-specific duties and special projects as assigned.
Qualifications
Required
- High School Diploma or GED.
- Minimum of one (1) year of experience in a medical office or healthcare setting.
- Experience with electronic medical records (EMR) systems.
- Strong computer skills, including word processing and data entry.
- Ability to type a minimum of 40 words per minute.
- Excellent verbal and written communication skills.
- Strong customer service and patient relations skills.
- Professional telephone etiquette.
- Ability to perform basic mathematical calculations accurately.
- Exceptional attention to detail and organizational skills.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Ability to remain professional and composed in challenging situations.
- Team-oriented mindset with flexibility and willingness to assist others.
Preferred
- Associate's Degree.
- Experience with Epic EMR.
- Previous ENT, surgical, specialty practice, or procedure scheduling experience.
- Bilingual language skills.
Physical Requirements
- Primarily sedentary position with extended periods of sitting and computer use.
- Frequent keyboarding and data entry.
- Occasional standing, walking, reaching, bending, and lifting up to 25 pounds.
- Ability to communicate effectively in person and by telephone.
- Ability to read and interpret information on a computer monitor and printed materials.
