Assignment:
- 8 hours per day, 200 days/year, Monday – Friday
Anticipated Start Date:
- 05/01/2026
Salary: Secretary Level 1:
- $28.892 per hour
Summary:
Provide administrative and clerical support to the Special Programs Department, including coordination of student records, program operations, and compliance reporting. Serve as a primary point of contact for staff, families, and agencies while supporting data management, maintaining confidential records, and ensuring adherence to special education laws and program requirements.

Required Qualifications:
- High school diploma or GED
- WSP/FBI background and fingerprint clearance (fee paid by the employee)
Desired Qualifications:
- Experience with public schools or in an environment with students
- Experience reading and adhering to state RCWs and WACs in a professional capacity
- Good office machine and computer skills (word processing, spreadsheet, and database) and Skyward/Qmlativ
- Able to compose documents, memos, or letters with good grammar, spelling, and punctuation
- Schedule flexibility to allow for occasional evening/summer functions
Examples of Duties:
- Provide first-line assistance to the Special Programs Director and general clerical support.
- Serve as receptionist: managing phones, directing traffic, and responding to inquiries.
- Process student record requests (IEP, medical, court orders, DSHS, etc.).
- Coordinate preschool operations: enrollment, waiting lists, screenings, and immunizations.
- Manage logistics: supplies, workshop registrations, travel arrangements, and meeting minutes.
- Maintain extensive knowledge of state and federal special education laws.
- Complete and submit essential monthly and annual reports, including:

- Enrollment & Data: P223H, Federal Child Count (LRE), and CEDARS submissions.
- Audits & Compliance: Secondary Transition Audits and Time & Effort reporting.
- Student Progress: COSF, CCTS (Post-School Data), and Timeline for Initial Evaluations.
- Facilitate data entry for Multilingual (ML) and LAP programs in Skyward/Qmlativ.
- Maintain and audit legal student files for IEP and evaluation compliance.
- Update and distribute monthly caseloads for special education staff.
- Manage database program files for SpEd, Title, LAP, 504, and Early Education.
- Assist with the preparation of Safety Net applications.
