We’re looking for a highly organized Service Scheduler & Office Support Administrator to join our growing team. This role is essential to keeping our service, fabrication, and office operations running smoothly through scheduling, warranty coordination, invoicing, and administrative support.

What You’ll Do

Service Scheduling & Coordination

  • Schedule service calls, installations, and fabrication projects using Service Fusion or other software
  • Coordinate technician workloads and adjust schedules as needed
  • Ensure all job details are clearly communicated to customers and field teams
  • Follow up on open or incomplete jobs to support timely resolution

Warranty & Claims Administration

  • Create and manage warranty tickets for equipment and parts
  • Coordinate with manufacturers and vendors to authorize and process claims
  • Order warranty or repair parts and maintain complete documentation
  • File and track damage claims through resolution

Invoicing & Documentation

  • Generate customer invoices for service calls, installations, and deliveries
  • Review labor, job costing, and parts usage for accuracy
  • Maintain organized service records, work orders, and warranty files

Office & Administrative Support

  • Perform data entry and maintain spreadsheets in Excel or Zoho Sheets
  • Monitor and respond to company emails and messages as directed
  • Support administrative projects and provide backup office support as needed
  • Maintain confidentiality of customer and company information

Communication Hub

  • Provide proactive updates to restaurant clients, technicians, and vendors
  • Serve as a key point of contact ensuring smooth workflow across departments

What We’re Looking For

  • 2+ years of experience in service scheduling, dispatching, warranty administration, or office support
  • Strong proficiency in Excel and/or Zoho Sheets
  • Experience with Service Fusion, DDI (CRM), or similar software preferred
  • Excellent communication, organization, and multitasking skills
  • Detail-oriented, dependable, and calm under pressure
  • Customer-focused with strong follow-through

Preferred (Not Required)

  • Background in restaurant equipment, foodservice, or commercial kitchen operations
  • Bilingual skills
