The Service Clerk is responsible for providing administrative and clerical support to the service department. This role plays a key part in ensuring smooth daily operations, maintaining accurate service records, assisting with customer service, and supporting service advisors and technicians as needed.


Key Responsibilities:

  • Greet customers and assist them with check-in/check-out for service appointments.
  • Schedule service appointments and update customer records in the system.
  • Open and close repair orders (ROs) accurately and efficiently.
  • Maintain organized and up-to-date service files and documentation.
  • Handle phone calls, respond to inquiries, and route messages as needed.
  • Prepare and process warranty claims and internal repair orders.
  • Assist service advisors and technicians with paperwork and parts requests.
  • Maintain inventory of office supplies and reorder when necessary.
  • Ensure service department cleanliness and organization (waiting area, counters, etc.).
  • Handle customer payments and invoicing for completed services.
  • Follow dealership and manufacturer compliance procedures.


Qualifications:

  • High school diploma or equivalent (required).
  • Previous clerical or customer service experience (automotive dealership experience preferred).
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office and dealership management software (CDK, Reynolds & Reynolds, etc.).
  • Ability to work in a fast-paced environment and multitask effectively.
  • Friendly, professional, and team-oriented attitude.


Work Environment:

  • Office setting within the dealership’s service department.
  • Requires standing, walking and sitting for extended periods.
  • Saturday shifts are required
