The Service Clerk is responsible for providing administrative and clerical support to the service department. This role plays a key part in ensuring smooth daily operations, maintaining accurate service records, assisting with customer service, and supporting service advisors and technicians as needed.
Key Responsibilities:
- Greet customers and assist them with check-in/check-out for service appointments.
- Schedule service appointments and update customer records in the system.
- Open and close repair orders (ROs) accurately and efficiently.
- Maintain organized and up-to-date service files and documentation.
- Handle phone calls, respond to inquiries, and route messages as needed.
- Prepare and process warranty claims and internal repair orders.
- Assist service advisors and technicians with paperwork and parts requests.
- Maintain inventory of office supplies and reorder when necessary.
- Ensure service department cleanliness and organization (waiting area, counters, etc.).
- Handle customer payments and invoicing for completed services.
- Follow dealership and manufacturer compliance procedures.
Qualifications:
- High school diploma or equivalent (required).
- Previous clerical or customer service experience (automotive dealership experience preferred).
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Proficient with Microsoft Office and dealership management software (CDK, Reynolds & Reynolds, etc.).
- Ability to work in a fast-paced environment and multitask effectively.
- Friendly, professional, and team-oriented attitude.
Work Environment:
- Office setting within the dealership’s service department.
- Requires standing, walking and sitting for extended periods.
- Saturday shifts are required
