An established fire protection company is seeking a highly organized Office Administrator to support daily operations, contract management, and project documentation. This role is ideal for someone detail-oriented with fire industry experience who can manage proposals, FDNY documentation, and administrative processes.

Responsibilities

  • Prepare contracts, proposals, and project documentation
  • Manage correspondence with FDNY, clients, and vendors
  • Track project timelines and ensure proper filing of required documentation
  • Handle estimating support and follow up on proposals
  • Maintain organized records of permits, inspections, and compliance paperwork
  • Provide general administrative support to office operations

Requirements

  • 2–3 years of office administration experience (fire protection industry required)
  • Knowledge of FDNY processes, permits, and compliance requirements
  • Experience with contract writing and proposals
  • Strong organizational and communication skills
  • Ability to multitask and manage deadlines
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Detail-oriented, reliable, and able to work independently
