An established fire protection company is seeking a highly organized Office Administrator to support daily operations, contract management, and project documentation. This role is ideal for someone detail-oriented with fire industry experience who can manage proposals, FDNY documentation, and administrative processes.
Responsibilities
- Prepare contracts, proposals, and project documentation
- Manage correspondence with FDNY, clients, and vendors
- Track project timelines and ensure proper filing of required documentation
- Handle estimating support and follow up on proposals
- Maintain organized records of permits, inspections, and compliance paperwork
- Provide general administrative support to office operations
Requirements
- 2–3 years of office administration experience (fire protection industry required)
- Knowledge of FDNY processes, permits, and compliance requirements
- Experience with contract writing and proposals
- Strong organizational and communication skills
- Ability to multitask and manage deadlines
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Detail-oriented, reliable, and able to work independently
