Location:

UT Main Campus – in person at Gregory Gym, Monday–Friday, 8:00 AM–5:00 PM. Weekly scheduled hours: 40. FLSA status:
Non‑Exempt.

Overview

The Senior Administrative Human Resources Associate manages and performs a wide range of HR generalist tasks within the Recreational Sports department. The role focuses on recruiting, onboarding, and managing business processes for student and non‑benefits eligible staff in a high‑volume, transactional environment. The associate may also provide HR support to other campus departments as needed.

Responsibilities

  • Manage HR processes for non‑benefits eligible staff, including job postings, onboarding procedures (Form I‑9s), and employee record maintenance. Oversee the creation and maintenance of internal resource documents, ensure supervisors take timely action on HR tasks, and resolve related issues.
  • Assist managers in recruiting student employees by coordinating job postings, reviewing applications, setting up interviews, and tracking candidates. Support the Facility Operations team with recruitment and may also support other campus departments.
  • Hire, train, supervise, mentor, and evaluate student HR and runner staff. Participate in departmental student development activities, modeling professional behavior.
  • Ensure departmental compliance with HR policies such as onboarding, training, and reporting. Communicate with employees and managers regarding compliance and serve as the primary point of contact for driver compliance matters.
  • Develop and maintain strong working relationships with departmental staff, Human Resource Services, and other campus departments. Represent the department at university‑wide HR meetings.
  • Serve as backup to other HR staff members and the Administrative Associate for Senior Staff, ensuring consistent office coverage in their absence. Take necessary action in the absence of staff and work on special projects as assigned. Make recommendations for process improvements.
  • Other duties include participation in meetings, collaboration with colleagues, service on special event committees, and performing other assignments as assigned.

Required Qualifications

  • High School Diploma or GED plus clerical or administrative experience, with at least one year at the Administrative Assistant or Administrative Associate level.
  • Prior supervisory experience, including overseeing staff, coordinating work, and providing direction to others.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks in a high‑volume, transactional environment.
  • Excellent written and verbal communication skills and the ability to interact effectively with a wide range of individuals.
  • Demonstrated competencies in conflict management, effective communication, decision‑making and critical thinking, problem solving, tactical and strategic planning, and relationship management with a focus on service excellence.

Preferred Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Clerical experience of more than one year at either the Administrative Assistant or Administrative Associate level.
  • Experience in higher education or recreational sports environment.
  • Proficiency in HR systems and tools such as Workday, Excel, and Docu Sign.
  • Experience supporting student employment or development programs.
  • Professional in Human Resources (PHR) or Society for Human Resource Management (SHRM) certification.

Salary

$50,000+ depending on qualifications and experience.

Work Conditions and Other Requirements

The position requires manual dexterity, lifting, and moving objects; working in environments with alarms, large crowds, dust, and noise; occasional exposure to chemical fumes; and frequent use of a keyboard and repetitive hand movements. The role is Campus Security Authority under the Clery Act and a Responsible Employee under Title IX.
