Responsibilities
- Provide confidential senior‑level administrative support services to the Regional Vice President, including:
- Maintaining appointment schedules and coordinating meetings (in person or virtual)
- Managing the RVP’s email inbox and completing tasks on their behalf
- Proactively monitoring the calendar
- Providing status reports on projects and preparing meeting packages, agendas, action lists, and minutes as required
- Supporting technology adoption and preparing correspondence, reports, and presentations
- Coordinating travel arrangements and preparing expense reports
- Provide sales, process, marketing, and administrative support to the RVP and the entire region.
- Offer technology support related to BYOD, Help Desk escalations, and general inquiries.
- Support business development and marketing activities and strategies as required.
- Assist with the execution of region client acquisition events (both virtual and in person).
- Facilitate and follow up on PWPE cases by pulling documentation, completing intake forms, and ensuring timely case completion.
- Develop a strong working knowledge of Advisor Portal and run reports related to Consultant and region activity (e.g., BID reports, Client Acquisition, Unbundled Progress, LPP Progress).
- Lead the National Service Centre strategy in the region, coordinating submissions to Head Office and helping clients transition to the NSC.
- Collaborate with all levels of regional leadership, employees, and Consultants across multiple locations.
- Support region office operations, including workspace setup, equipment requirements, facility management, reception duties, special projects, events, and budget/finances.
- Support the RVP in establishing a respectful workplace, promoting diversity and inclusion, community involvement, building a compliance culture, and ensuring adherence to corporate policies.
Qualifications
- Business Administration Diploma or other relevant postsecondary degree, or equivalent experience, plus a minimum of 5 years of administrative experience preferably in sales or financial services.
- Effective communication skills, both verbal and written, with excellent interpersonal skills for interacting with all organizational levels and clientele.
- Service‑oriented with strong relationship‑management skills.
- Ability to work independently and as part of a team.
- Experience handling confidential information in a tactful and professional manner.
- Exceptional technology skills and digital savvy; able to support a digital environment using document management and team collaboration tools.
- Proficient with MS Office (Word, Outlook, PowerPoint, Teams) at an advanced level; intermediate Excel; advanced PowerPoint with infographics.
- Flexible and able to perform in a fast‑paced, changing environment.
- Outstanding organizational, planning, prioritization, and multitasking skills for managing multiple projects simultaneously.
- Exceptional attention to detail.
- Proficient with AI tools, including Co‑Pilot and Gemini.
Salary & Benefits
The expected annual base salary range for this role is $55,000 – $69,000, based on skills, knowledge, experience, and geographic location. In addition to base salary, this role is eligible for annual short‑term incentive, health and well‑being benefits, a retirement and savings plan, paid time off, and career development opportunities.
