We are seeking a dynamic and highly organized Secretary/Assistant Office Manager/Accountant to join our team! This vital role combines administrative excellence with office management expertise to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills.
Duties
- Manage front desk operations, greeting visitors and handling inquiries with professionalism and warmth
- Operate multi-line phone systems, directing calls accurately and courteously while providing exceptional customer support
- Perform data entry, maintain filing systems, and ensure all records are organized and up-to-date
- Bookkeeping using QuickBooks or 1099-ETC
- IRS correspondences
- Provide administrative support including proofreading documents, preparing correspondence, and managing email communications
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks or other bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills coupled with high computer literacy and data entry accuracy
- Exceptional phone etiquette and customer service skills for engaging with clients, vendors, and visitors
- Previous experience in personal assistant roles or office experience preferred
