We are seeking a dedicated and organized individual to join our team at Trimpe Middle School as a full-time School Secretary. The ideal candidate will be the first point of contact for students, parents, and staff, providing essential administrative support to ensure the smooth operation of the school. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities
- Serve as the primary point of contact for parents, students, and visitors, providing exceptional customer service and support.
- Manage phone calls, emails, and correspondence, addressing inquiries and routing messages appropriately.
- Maintain student records, including enrollment, attendance, and academic performance, ensuring accuracy and confidentiality.
- Assist with the scheduling of meetings, events, and appointments for school staff and administration.
- Prepare and distribute school communications, newsletters, and announcements to students, parents, and staff.
- Coordinate and support school events, including parent-teacher conferences, open houses, and extracurricular activities.
- Manage office supplies and inventory, placing orders as necessary to ensure adequate stock levels.
- Assist in the preparation of reports and documentation required for state and federal compliance.
- Collaborate with teachers and staff to support the overall mission and goals of the school.
- Perform additional administrative tasks as assigned by school administration.
Requirements
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience in an administrative or secretarial role, preferably in an educational setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills with a customer-service-oriented attitude.
- Ability to work independently as well as collaboratively within a team.
- Familiarity with school policies, procedures, and regulations is preferred.
Ten (10) month employees: secretaries shall work the same days as the teachers and shall work a minimum of twenty (20) additional days. These days shall total the employees’ regularly scheduled number of hours per day. These numbers do not include the paid holidays.
