Job Summary
This position for Always Neighbors Home Care is responsible for assisting with the general needs of the Scheduling Department on a day-to-day basis. The Scheduling Coordinator I position will provide support in the scheduling department and will work closely with the entire Administrative Team to ensure client and caregiver satisfaction with services. This position will also act as a backup/PRN Caregiver to ensure clients are well cared for by filling in for shifts as needed. This is all carried out via direct collaboration with the Scheduling Supervisors, Director of Operations, and Owner. The Scheduling Coordinator I will ensure that all company policies and procedures are upheld and will report any irregular situations to a Supervisor.
Required hours are 8:00am – 4:00pm, M-F.
Responsibilities include assisting with client scheduling, communicating with Clients, Caregivers and Case Managers, and ensuring proper documentation of all relevant events. This position will help with screening calls to assist clients and caregivers with scheduling changes and other short-term adjustments. This position is responsible for maintaining superior customer service and enhancing the Agency’s image through professional dress, pleasant and helpful telephone manner, and courteous interaction with all staff, clients, and visitors. The attire for this position is scrubs and tennis shoes.
Qualifications
This position requires an individual who is a self-starter with excellent organizational, office, customer service and telephone skills. Background in healthcare/senior services and/or service industry is preferred. 2 years of professional caregiving experience is required. The ideal applicant may have experience on WellSky (scheduling software) or similar software systems and RingCentral (phone system). Must have good recall, be articulate, detail oriented and have good penmanship. This position requires a warm, congenial, and professional attitude. Maintaining the confidentiality of employees and clients is a key requirement of position. Also required is the ability to be flexible, handle frequent interruptions, change previously established schedules on short notice, manage multiple priorities and accomplish tasks against deadlines. Must have the ability follow and communicate policies to other staff members and ask questions when they arise.
Reports to: Scheduling Supervisor I/II, Directors, and Owner.
General Duties and Responsibilities
- Assists with managing the day-to-day scheduling needs, including calls with clients and caregivers, creating shifts, and providing accurate documentation when necessary.
- Filling in as a Caregiver as needed to ensure client satisfaction (~50% or less)
- Ensures accurate shift details such as authorizations, clock-in’s/clock-out’s, signatures, pay rates, billing rates, documentation, etc.
- Follows up with caregivers and clients to ensure satisfaction with service.
- Maintains files on all current and past employees (7-years). Supports the Agency by ensuring all employee files are complete, with all required documents signed and dated. (Files and timesheets should always be audit-ready).
- Follows and upholds the company’s Policies & Procedures Manual and assists in educating caregivers on the company’s policies and best practices.
- Provides direction and supervision to caregivers in performing their assigned tasks during employment (Do’s and Don’ts of caregiving), especially with new clients and new caregivers.
- Communicates effectively (verbally, via e-mail, text, etc.) all pertinent staffing and scheduling information with administration as required.
- Ability to be on call after hours on rare occasions (~1 week per year).

Pay and Benefits
This is an hourly position with additional opportunity for bonuses as deemed appropriate. The starting pay for this position is $23.00 per hour.
