Scheduling Coordinator – Solar Operations & Customer Support

Reports to: Director of Service

Role Overview

We’re looking for a highly organized, proactive Scheduling Coordinator to be the driving force behind exceptional customer experiences and efficient solar site survey and service operations. In this critical role, you’ll own service requests from start to finish, coordinate field teams, and ensure our customers’ solar systems perform at their best.

You’ll be the central hub connecting homeowners, partners, technicians, and internal teams—turning service requests into satisfied customers and streamlined operations.

Key Responsibilities

Service Coordination & Ownership

  • Own service appointments opportunities and cases end-to-end: intake, scheduling, dispatching, follow-up, billing and closeout
  • Proactively manage and escalate aging or at-risk work orders to prevent delays to Branch Operations Manager and Director of Service
  • Coordinate technician schedules, return visits, and emergency service in Texas
  • Ensure complete documentation (photos, notes, test results) for every job before closeout

Customer & Partner Experience

  • Act as the primary point of contact for homeowners and installation partners
  • Deliver timely, clear updates and manage expectations throughout the service process
  • Troubleshoot basic system performance questions and guide customers with confidence
  • Conduct post-service follow-ups to confirm satisfaction and gather feedback

Systems, Reporting & Continuous Improvement

  • Maintain accurate, real-time data in Salesforce (Opportunities, Cases, Work Orders, Service Appointments)
  • Support service metrics and reporting by driving data integrity
  • Identify recurring issues, process bottlenecks, and opportunities for improvement
  • Help track trends in callbacks, rework, and quality issues

  • Maintain average duration to under 30 days
  • High customer satisfaction scores and positive feedback
  • Clean, reliable Salesforce data that informs smart decisions
  • Fewer repeat visits through proactive problem-solving
  • Strong collaboration across field teams, partners, and customers

Qualifications & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
  • 2+ years of experience in service coordination, field service operations, scheduling, dispatch, or customer support
  • Experience in solar, renewable energy, construction, HVAC, or field service strongly preferred
  • Proven ability to manage multiple priorities in a fast-paced environment

  • Basic understanding of solar PV systems, inverters, batteries, and monitoring platforms (Enphase, SolarEdge, etc.)
