Wave Plastic Surgery is a premier plastic surgery center with a dedicated Pain Management division led by two board-certified pain management specialists. We are seeking a Medical Scheduler & Coordinator to support our Pain Management department. This role is responsible for coordinating patient appointments and managing scheduling while delivering an exceptional patient experience.
Job Responsibilities:
- Greet and welcome patients promptly upon arrival.
- Answer and screen incoming telephone calls in a courteous and efficient manner; accurately document and relay messages to physicians and appropriate staff.
- Serve as the primary liaison between the practice and law offices to verify case status, confirm treatment authorization, and coordinate approved patient scheduling.
- Schedule and coordinate procedures, consultations, and follow-up appointments as directed by the physician, ensuring compliance with established policies and maintaining a high level of accuracy and attention to detail.
- Facilitate the patient check-in process, room patients, and support physicians and clinical staff to maintain efficient workflow and optimal patient flow.
- Maintain accurate and up-to-date patient records while ensuring confidentiality and compliance with HIPAA regulations.
- Provide exceptional customer service to patients, attorneys, and referral sources, addressing inquiries promptly and professionally.
- Assist clinical staff in the back office during injection and procedure days, ensuring rooms are properly prepared and fully stocked.
- Set up procedure rooms according to physician preference and established clinical protocols.
- Operate and assist with the use of the C-arm fluoroscopy machine during procedures, maintaining safety standards and supporting efficient workflow.
Job Qualifications:
- 2+ years of experience in medical billing & scheduling
- Knowledge of ICD-10 and CPT codes
- Prior experience in Pain Management
- Bilingual in Spanish or Korean is highly preferred
