Summary
We are seeking an energetic and detail-oriented Scheduling Coordinator to join our team! In this vital role, you will coordinate patient appointments, manage scheduling workflows and ensure seamless communication between patients and healthcare providers. Your proactive approach will help optimize clinic operations, improve patient experience, and support our commitment to exceptional care.

Essential Duties and Responsibilities

  • Coordinate and manage patient scheduling for appointments, ensuring optimal use of resources and time.
  • Handle incoming calls and inquiries with professionalism, utilizing excellent phone etiquette.
  • Verify insurance information and check patient eligibility.
  • Maintain accurate patient records in compliance with HIPAA regulations.
  • Review documentation for completeness and accuracy, within the patient’s medical record.
  • Utilize NextGen EMR systems for scheduling and record management.
  • Assist in the intake process for new patients, ensuring all necessary information is collected.
  • Provide clerical support including electronic faxing, filing, and managing multi-line phone systems.
  • Collaborate with medical staff to ensure seamless patient flow and address any scheduling conflicts or issues.
  • Must be able to work at least 1 or 2 Saturdays/month (7:45 am – 12 pm)

Experience

  • Proven experience in medical scheduling within a healthcare setting or clinic environment.
  • Familiarity with EMR systems such as Nextgen, Epic, Meditech, Medisoft, or Athenahealth.
  • Strong knowledge of medical terminology, and insurance verification procedures.
  • Excellent computer skills including proficiency in Microsoft Office applications and health information management software.
  • Exceptional organizational skills with attention to detail in documentation review and appointment coordination.
  • Experience processing referrals and pre-authorizations preferred.
  • Knowledge of HIPAA compliance standards and healthcare privacy regulations
  • Strong customer service orientation with professional phone etiquette and clerical skills.
