Role and Company Overview:
We’re hiring a Scheduling and Reporting Specialist to support a U.S.-based home services operation by building, maintaining, and optimizing technician routes. This role is primarily internal-facing and works closely with the Scheduling Department Head to keep schedules accurate, clean, and efficient—especially as volume changes due to customer demand and seasonal shifts.
This is ideal for someone with a “puzzle brain,” strong attention to detail, and the ability to make smart judgment calls when priorities change.
Responsibilities:
- Build and maintain technician routes for upcoming service days (starting with planning two weeks out)
- Optimize routes daily to improve efficiency, drive time, and stop order (grouping by area, reducing backtracking)
- “Clean” schedules: correct assignments, logical time windows, and routes aligned with operational rules
- Ensure specialty services are scheduled only with qualified/equipped technicians
- Monitor schedule changes (adds, reschedules, higher volume) and adjust routes as needed
- Maintain schedule accuracy by updating appointments, moving stops, and reassigning work to balance routes
- Support seasonal scheduling spikes by proactively managing capacity under pressure
- Coordinate with internal teams (office staff, field leadership, stakeholders) to resolve conflicts and align operations
- Apply nuanced decision-making when rules conflict (customer experience, capacity, revenue priorities)
- Document scheduling notes and updates clearly to reduce errors and ensure continuity
- Escalate constraints/issues to the Scheduling Department Head when needed
Requirements:
Must have:
- 1+ year experience in scheduling, dispatching, route planning, operations coordination, or similar (home services a plus)
- Strong organization and comfort in fast-paced environments with shifting priorities
- High attention to detail and consistent accuracy with many small rules
- Analytical, problem-solving mindset; enjoys optimizing systems
- Ability to think big picture (capacity/route health) + small picture (time windows, stop order, service rules)
- Clear written and verbal communication for internal coordination
- Consistency, proactivity, flexibility, and resilience during schedule changes
Nice to have:
- Experience in pest control, lawn care, HVAC, plumbing, or other route-based services
- Knowledge of route optimization, territory planning, capacity management, drive-time reduction
- Experience supporting seasonal demand spikes and rapid schedule changes
- Experience working with field teams/technicians and real-world route constraints
- Comfort making judgment calls (not purely black-and-white rule following)
