The Sales desk Administrator role reports to Sales Desk Coordinator.

The Sales desk Administrator will assist the operations and sales team by managing day-to-day activities, coordinating logistics, and ensuring efficient workflow. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Role & Responsibilities:

Responds to incoming sales inquiries via phone or email by collecting detailed customer information and understanding their needs, then accurately documenting and submitting quotes to the sales team for follow-up.

Works with the sales team to compile collected customer details and requirements into accurate and timely quotes for client follow-up.

Handles multiple project documents and tasks at once, maintaining accuracy and organization prior to project kickoff.

Communicate with customers via email in a professional and grammatically correct manner, providing timely and accurate responses with prompt follow-up on urgent matters.

Coordinates and communicates with Sales Team and Operations Team upcoming project start dates, identifies and addresses missing details, and provides input on fleet allocation as needed.

Manages the full lifecycle of project documentation, including creating quotes, contracts, invoices, proposals, facilitating contract execution through DocuSign or PDF via email, and administering credit applications, COI requests, and pre-project worksheets.

Reviews customer Master Service Agreements (MSAs) against existing company service agreements, identifies potential risks, and collaborates to negotiate improved terms.

Maintains and updates records, databases, and filing systems with accuracy, while inputting and managing data related to operational activities in company systems.

Designs and maintains Microsoft Word templates, utilizing built-in features and plug-ins.

Manages promotional and marketing materials, including creating new marketing supplies, maintaining inventory of promotional gear and company uniforms, and forecasting and coordinating reorders as needed.

Identifies areas for process improvement and contribute to the development of solutions.

Attend and participate at regular team meetings.

Additional tasks including but not limited to creating shipping labels, filing, answering phone calls, other administration actions as required

Qualifications, Skills & Education Requirements

· Knowledge of all Management System Policies and Objectives

· Computer literate with strong excel, word, and outlook skills.

· Effectively communicate at all levels

· Ability to follow and create procedures to support ISO compliance.

· Exceptional verbal communication and presentation skills.

· Excellent listening skills.

· Strong written communication skills.

· Self-motivated, with high energy and an engaging level of enthusiasm.

· Able to perform basic calculations and mathematical figures.

· Ability to work individually and as part of a team.

· High level of integrity and work ethic.

Job Type: Full-time

Pay: $18.00 – $22.00 per hour
