Job Summary

The Order Entry & Customer Service Coordinator plays a key role in supporting OPTO’s continued growth and commitment to delivering high-quality, custom retail fixture solutions. This individual is responsible for accurately entering and managing orders using OPTO’s internal system and ensuring all order-related tasks are completed on time. Working closely with the Design, Engineering, Manufacturing, and Shipping teams, they help ensure projects move into production on schedule and align with client expectations. Maintaining a professional tone in all internal and external communication is essential.

Strong attention to detail, effective time management, and clear communication skills are critical for success in this role. The ideal candidate is a proactive team player who takes ownership, stays organized, and thrives in a fast-paced, deadline-driven environment.

Key Responsibilities:

Order Processing

Review submitted quotes and verify completeness of information from Design.
Identify missing parts or data and coordinate with Engineering to complete BOMs.
Create bills of materials using OPTO’s ERP system.
Upload production drawings and documentation for each order.
Accurately enter orders and ensure timely submission for production scheduling.
Track timelines and work with internal teams to ensure projects are released to production on time.
Confirm all order details, including shipping information and onsite dates.
Adjust ship dates as needed, following the appropriate approval process.
Keep internal teams and clients informed of order progress and delivery status.

Customer Service Support

Proactively reach out to clients once orders are submitted to confirm ship dates, delivery details, and send formal order acknowledgements.
Respond to customer inquiries professionally and in a timely manner.
Document client communications and resolutions for internal tracking.
Enter replacement orders and track related issues per management direction.
Assist in coordinating returns and inspect replacement products before shipping.
Collaborate with internal departments and clients to resolve concerns—escalating as needed and with management approval.
Provide support on customer-related matters within the scope of coordinator responsibilities and in alignment with management guidance.

Qualifications:

High school diploma required; Associate’s or Bachelor’s degree preferred.
2+ years of experience in customer service, order processing, or a similar role.
Strong proficiency in Microsoft Office and ability to learn internal ERP systems.
Excellent attention to detail and organizational skills.
Strong verbal and written communication abilities.
Ability to multitask, meet deadlines, and adapt to shifting priorities.
Collaborative, team-oriented mindset with a proactive, problem-solving approach.

Bonus Skills (Preferred, not required):

Experience in manufacturing, retail operations, or e-commerce environments.

Work Environment and Physical Requirements:

This position is based in an office environment. The role involves sitting and standing at a desk, frequent in-person and phone communication, and the regular use of standard office equipment, including phones and computers.
