Experience:

  • Proven administration experience
  • Retail experience is a plus
  • Intermediate-level experience

Systems:

  • FranConnect (Wardrobe)

Key Responsibilities

Administrative & Coordination Support

  • Manage and maintain the National Retail Operations calendar
  • Book and organize meetings for the National Retail Operations Manager
  • Ensure emails are responded to promptly and professionally
  • Maintain filing systems and ensure proper document archiving

Communication & Store Support

  • Coordinate monthly store communications, including sales updates, training tips, and operational updates
  • Support the Customer Support Team with store-related enquiries
  • Issue E-Gift cards for customer support when required

Data & Systems Management

  • Maintain Wardrobe, Q Drive, and OneDrive ensuring all data is accurate and up to date
  • Prepare and maintain seasonal retail calendars (events, holidays, stock take, key deadlines, etc.)

Operations & Logistics

  • Coordinate monthly mail distribution to stores across departments
  • Source vendors and ensure cost-effective procurement for travel, events, and supplies
  • Assist in managing office and operational expenses

Budget & Finance Support

  • Support seasonal budget forecasting with the National Retail Operations Manager
  • Communicate budget updates to Business Managers and stores
  • Monitor spending across state offices to ensure budget compliance
  • Reconcile American Express and Master card expenses
  • Ensure all expenses are accurately coded and recorded
