Registration Specialist

Position Summary

The Student Registration Specialist is responsible for the process of registering students for enrollment according to district policy/regulations and state law. This process will be completed in a centralized registration location utilizing our Student Information Systems' OLR tools. This position serves as a direct contact between families and the district in the registration of new and returning students. This position will also assist families with Parent Portal sign up. Communication and coordination with intra-district, and out of district personnel will be essential. This employee will also work to support the overall effectiveness of the organization by performing tasks and sharing responsibilities of other members of the department during peak periods or when there is an overload of duties.

Essential Duties

  • Communicates with a high level of professionalism to district patrons, district staff, and all other entities with whom the employee interacts.
  • Supports families by phone and in person in the completion of the student registration process.
  • Processes families' online and paper student registrations and provides school staff with households created and ready for enrollment.
  • Assists parents with parent portal registration.
  • Exhibits attention to detail to identify issues and follow-up with families to verify information.
  • Utilize experience of school processes to maintain a smooth and efficient centralized student registration process.
  • Develops emails, memos, reports, and letters regarding student registration, while maintaining confidentiality when necessary.
  • Provides clerical expertise and data acuity.
  • Assists with the development and implementation of long-term goals and projects designed to increase the accuracy and functionality of student data.
  • Attentiveness to all state and federal laws regarding enrollment of students as well as all associated district policies.
  • Maintains family confidentiality and integrity according to FERPA.
  • Performs other duties as assigned.
  • To ensure continuity of services, alternative work site may be necessary in the event of a health crisis or disruptive situation that requires the closing of school and/or office buildings. An employee's eligibility for alternative work site will be determined by the superintendent of schools. Expectations and guidelines for alternative work site will be distributed by the employee's supervisor, based on his/her role and responsibilities.

Minimum Qualifications (Knowledge, Skills And/or Abilities Required)

  • High School Diploma or equivalent.
  • 3-5 years secretarial/clerical experience in a school district with some organizational knowledge of district and administrative offices.
  • Experience with computers and ability to learn new programs and procedures.
  • Ability to respond to telephone calls and persons coming into the office in regards to all areas related to student registration.
  • Willingness to take the time to research any unique questions or circumstances as they arise.
  • Able to meet time requirements of assignments and maintain a consistent level of work production.
  • Relevant experience may be substituted for formal education at a 2:1 ratio. Therefore for every 1 year of college lacking, 2 years of directly relevant experience may be substituted.

Physical/Mental Requirements

  • Must have adequate manual dexterity to write legibly and perform required duties on the computer
  • Must have adequate visual acuity to read, interpret and transcribe written material and other required duties
  • Requires normal range of hearing and clear speaking abilities to interact appropriately with others in person and on the telephone
  • Requires some stooping, bending, stretching and occasional lifting not to exceed 25 pounds
  • Sitting for prolonged periods of time
  • May periodically require work outside of normal business hours, including weekends, under sometimes stressful conditions in order to meet business needs and strict deadlines

Work Environment

  • Office duties will be performed in a well-lighted, climate controlled environment
