29 hours a week within the range of Monday‑Thursday, 8 am ‑ 7 pm;
Friday 8 am ‑ 5 pm. Occasionally evening hours.

Position Purpose

The Workforce Division at Piedmont Virginia Community College seeks an innovative and collaborative individual to support student registration and the daily operations for the Workforce Development Division.

Duties and Responsibilities

  • Provides front‑office operations and registration support in the Workforce Development division’s office, which may include receiving visitors by phone or in‑person and responding to workforce inquiries via email and other digital channels, directing more complex questions to the appropriate persons, and maintaining the organization of the division office’s supplies and equipment.
  • Supports the enrollment of students into workforce programs by guiding potential students through the online funding and enrollment process, ensuring proper documentation for funding eligibility, explaining program expectations and requirements, facilitating registration sessions, registering students for classes in WES, and applying payments to classes.
  • Ensures the collection of student data to validate funding eligibility and student completion of orientation activities and/or course prerequisites.
  • Notifies students of program acceptance, funding award approval, class registration details,  process, campus policies, and technology access.
  • Contacts students as necessary for class cancellations for low enrollment, school opening delays, closings, or class scheduling changes.
  • Assists with procurement of course materials; preparation of instructor packets; attendance, grade, and course evaluation collection and entry into WES; reporting; daily class administration; inventory of course books and materials for each class; and class schedule distribution to internal stakeholders.
  • Works with workforce leadership to assist with issues concerning all instructional programs.
  • Coordinates and provides office staffing/coverage, consistently maintaining the 29‑hour weekly schedule.

Special Assignments

  • May be required to perform other duties as assigned.
  • May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

Required Qualifications

  • Experience in a customer‑facing role.
  • Effective oral and written communication skills, as well as excellent customer service skills.
  • Word processing, spreadsheet, and other software document‑preparation computer skills.
  • Excellent organizational skills and task prioritization skills.
  • Ability to work on multiple projects simultaneously and take direction from multiple individuals.

Additional Considerations

  • Additional education preferably in Administrative Technology, Business, or related field.
  • Fluency with current computer software including Word, Excel, and customer relations databases (CRMs).
  • Community college or other higher education institution experience.
  • Experience supporting workforce training or development.
  • Proficiency with WES (Modern Campus), People Soft, or a student information system.
  • Experience with student registration, intake, and/or advising.
