Role Overview
Executive Assistant (EA) supporting a team of 10 Economics professionals within BMO Capital Markets Global Markets. The role requires a high level of professionalism, discretion, and adaptability, with a strong understanding of financial markets and the front‑office environment.
Key Responsibilities Executive & Team Support
- Provide comprehensive administrative support to the team.
- Proactively manage complex calendars, including scheduling meetings across time zones and resolving conflicts.
- Coordinate domestic and international travel—flights, accommodations, visas, itineraries—and process related expenses accurately and on time.
- Prepare, edit, and format professional correspondence, reports, presentations, and meeting materials.
Stakeholder & Communication Management
- Serve as a key point of contact for internal partners (Sales, Trading, Research, Compliance, HR) and external stakeholders.
- Manage high‑volume email traffic, prioritizing and redirecting messages as appropriate.
- Support meeting preparation, including agenda creation, material distribution, and follow‑ups.
Operational & Administrative Excellence
- Maintain organized electronic filing systems and ensure documentation aligns with internal policies.
- Process invoices, expenses, and requests in accordance with Global Markets controls and timelines.
- Assist with onboarding and offboarding activities for team members, including system access and equipment coordination.
- Support ad hoc projects, reporting requests, and process improvements as required.
Confidentiality & Risk Awareness
- Handle sensitive and highly confidential information with discretion and sound judgment.
- Ensure all activities comply with internal policies, compliance standards, and regulatory expectations.
Skills & Qualifications
- Proven experience as an Executive Assistant, preferably within Global Markets, Capital Markets, or a fast‑paced corporate environment.
- Strong organizational skills with the ability to manage competing priorities and deadlines.
- Excellent written and verbal communication skills, with a professional and confident approach.
- Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and collaboration tools (Teams, SharePoint).
- High attention to detail, accuracy, and follow‑through.
- Ability to anticipate needs, work proactively, and remain calm under pressure.
- Strong judgment, integrity, and commitment to confidentiality.
Education & Experience
- Post‑secondary education preferred.
- Several years of relevant executive or senior administrative support experience.
- Experience supporting senior professionals or teams within financial services is an asset.
Salary & Compensation
Salary range: $70,000 to $85,000 CAD. Position is salaried; compensation may vary by location, skill, and experience and may include performance‐based incentives.
