We are seeking a polished, organized, and service-driven Receptionist / Patient Care Coordinator to become the face of our clinic and a key part of our patient experience. This position is much more than answering phones — you will play an essential role in patient communication, scheduling flow, onboarding, administrative coordination, and helping ensure every patient experience reflects the high standards of our practice.

Position Overview

The Receptionist / Patient Care Coordinator will serve as the first point of contact for patients and prospective patients both in person and virtually.

You will help coordinate front-office operations while supporting patient onboarding, communication, scheduling, refill workflows, administrative systems, and overall clinic organization.

Core ResponsibilitiesPatient Experience & Front Desk

  • Welcome patients and create a professional, concierge-style experience
  • Manage check-in/check-out flow
  • Maintain a clean, organized, patient-ready office environment
  • Ensure patients complete required forms, questionnaires, and consents before appointments

Scheduling & Communication

  • Answer phone calls, texts, emails, and patient messages promptly and professionally
  • Coordinate scheduling, confirmations, follow-ups, and appointment preparation
  • Assist prospective patients through the onboarding process
  • Communicate clearly with patients regarding appointments, labs, refills, and next steps

Administrative Coordination

  • Support lab ordering workflows and follow-up tracking
  • Assist with refill coordination and provider task management
  • Monitor scheduling systems, task boards, and communication platforms daily
  • Maintain accurate patient records and documentation
  • Help ensure workflows are completed efficiently and on time

Team Support

  • Collaborate closely with providers and leadership
  • Support operational efficiency throughout the clinic
  • Help identify workflow gaps and contribute to continuous improvement

QualificationsPreferred Experience

  • Previous experience in:
  • Medical office administration
  • Reception/front desk coordination
  • Patient care coordination
  • Concierge or hospitality-focused environments
  • Customer service roles
