About the Role
We are looking for a Receptionist/Office Manager to join our team in Zurich.
The Receptionist / Office Manager ensures the smooth, professional, and secure daily functioning of Banque Heritage’s Zurich office. This role combines high-quality front-desk service with proactive office management, supporting employees, clients, and visitors with discretion, efficiency, and impeccable service standards aligned with Swiss private banking culture.
Responsibilities
Front Desk & Client Experience
- Welcome clients, visitors, and partners with a polished, service-oriented approach that reflects the bank’s values.
- Manage incoming calls, emails, and correspondence, ensuring timely and accurate redirection.
- Coordinate meeting room bookings, prepare rooms, and support client meetings (refreshments, logistics, materials).
- Maintain a professional and secure reception environment in line with internal policies and compliance requirements.
Office Management
- Oversee daily office operations, including ordering office supplies, equipment and vendor coordination.
- Ensure the office environment is orderly, safe, and aligned with health & safety standards.
- Support onboarding logistics for new employees (workspace setup, welcome materials).
Administrative Support
- Assist with administrative tasks such as document preparation, mail handling, courier services.
- Support internal events, team meetings, and corporate hospitality.
- Maintain internal directories, contact lists, and administrative records.
Qualifications & Skills
- Proven experience in a receptionist, office coordinator, or administrative role, ideally within financial services or a regulated environment.
- Excellent communication skills in English and Swiss German; French is an asset.
- Strong organizational abilities, attention to detail, and a proactive mindset.
- Professional presence, discretion, and the ability to handle sensitive information.
- Proficiency with MS Office and standard office technologies.
- Ability to manage multiple priorities in a fast-paced, client-focused environment.
