We are seeking an energetic and highly organized Receptionist / Front Desk Administrator to be the welcoming face of our organization. Duties

  • Greet visitors, clients, and vendors professionally, ensuring a warm and welcoming atmosphere
  • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism
  • Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
  • Support office management tasks such as calendar scheduling, appointment setting, and calendar management for staff
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and QuickBooks for basic bookkeeping tasks
  • Assist with clerical duties such as photocopying, faxing, filing, and maintaining office supplies inventory
  • Provide customer support by addressing inquiries efficiently and ensuring a positive experience for all visitors
  • Perform administrative tasks related to office management and personal assistant responsibilities as needed
  • Ensure all front desk operations adhere to company policies and maintain high standards of professionalism

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Excellent computer literacy including proficiency in Microsoft Office Suite, Google Workspace, and data entry skills
  • Prior clerical or administrative experience preferred; experience in medical or dental reception is a plus
  • Strong customer service skills with the ability to handle multiple phone lines using multi-line phone systems effectively
  • Bilingual abilities are highly desirable to serve diverse client needs
  • Knowledge of QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks
  • Exceptional phone etiquette combined with excellent proofreading abilities
  • Ability to manage time efficiently while juggling various responsibilities in a fast-paced environment
  • Personal assistant or medical receptionist experience is beneficial but not required; training will be provided for the right candidate
