Job Description
We are seeking an organized and proactive Receptionist / Executive Assistant to join our team! This key role assists with the seamless operation of our office and day-to-day activities. Commercial real estate and construction experience preferred but not necessary.
Key Responsibilities
- Office Operations: Manage daily office operations, including overseeing supplies, equipment, and vendor relationships to maintain a professional and efficient workspace.
- Administrative Support: Provide comprehensive administrative support to the team, including scheduling meetings, maintaining accurate records, and ensuring efficient documentation management.
- Records Management: Maintain organized and confidential files for leases, contracts, and other critical documents in compliance with industry regulations, utilizing Microsoft SharePoint for efficient file management.
- Technology Management: Assist with office technology systems, troubleshoot technical issues, and collaborate with IT support to ensure seamless operations. Proficiency in Microsoft 365 products is required.
- Research: Conduct research and compile data to support business decisions, site acquisitions, and project planning.
- Personal Assistant: Run errands, including shopping, reservations, and personal tasks. Provide courier services, including picking up and delivering document, packages, and other items in a timely and secure manner.
Desirable Traits
- Proven experience as a Receptionist or similar role, preferably in real estate, development, or construction
- Exceptional organizational and time management skills with the ability to multitask and prioritize
- Strong Verbal and written communication skills
- Proficient in Microsoft 365, including Outlook, Word, Excel, and PowerPoint
- Familiarity with real estate terminology and processes is a plus
- Discretion, professionalism, and a proactive attitude
- Ability to adapt to changing priorities in a fast-paced environment
- Able to manage multiple priorities and deadlines with attention to detail
- A proactive thinker who can identify challenges and implement solutions effectively
