Job Summary
We are Ascend Recovery Solutions! we are currently seeking an energetic and highly organized Receptionist and Personal Assistant to join our dynamic team. In this vital role, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will also provide comprehensive administrative support to executives and team members, managing schedules, coordinating projects, and handling a variety of clerical tasks with efficiency and enthusiasm. You will have to communicate with the other offices to coordinate different events and office needs.   • “Please note: This is not a standard office role. In addition to administrative responsibilities and office cleaning duties, you will often interact with individuals on a recovery journey. We are seeking someone compassionate, resilient, and confident in supporting those dealing with sobriety and addiction challenges. Some of our clients may be impacted by homelessness or struggles with psychosis. Compassion and a willingness to help keep our space safe and clean are key."

Responsibilities

  • Greet visitors warmly, answer phone with professionalism, and direct inquiries appropriately using excellent phone etiquette.
  • Manage calendars for executives and teams and scheduling appointments, meetings, and events with precision.
  • Coordinate various projects and events, including planning logistics, preparing materials, and ensuring timely execution.
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications.
  • Support bookkeeping activities such as invoicing, expense tracking, and using QuickBooks for financial record management.
  • Assist with office management duties including supply ordering, maintaining office equipment, and overseeing front desk operations.
  • Provide executive administrative support by preparing reports, transcriptions, correspondence, and handling confidential information discreetly.
  • Maintaining a safe and clean environment.
  • Directing clients to staff with respect and a friendly appearance.

Qualifications

  • Proven experience in administrative roles or as a personal assistant with strong organizational skills.
  • Demonstrated ability to manage multiple priorities efficiently in a fast-paced environment.
  • Excellent communication skills with a professional demeanor and strong customer service orientation.
  • Experience with event planning, project coordination, bookkeeping (QuickBooks preferred), data entry, filing systems, and office management tools.
  • Skilled in typing quickly and accurately; experience with transcription and proofreading is a plus.
