About the Role
We are a growing, manufacturing company looking for a reliable, detail-oriented Administrative Assistant / Receptionist to serve as the face of our office and the backbone of our day-to-day operations. This is a hands-on role for someone who takes pride in keeping things running smoothly, communicates with professionalism and warmth, and genuinely enjoys supporting a busy team.

Key Responsibilities
Front Office & Reception
- Serve as the first point of contact for visitors, vendors, and callers — projecting a professional, welcoming image
- Manage a multi-line phone system; route calls and messages promptly and accurately
- Maintain the reception area and shared office spaces in a neat, organized manner
- Manage incoming and outgoing mail, packages, and deliveries
Administrative Support
- Provide day-to-day administrative support to management and cross-functional teams
- Prepare, format, and distribute correspondence, documents, and reports daily, weekly, monthly
- Maintain organized filing systems — both electronic and physical
- Order and track office supplies
- Assist with data entry, record-keeping, and general office tasks
Cross-Departmental Coordination
- Support office, sales, and operations teams with administrative tasks and light research
- Assist with occasional customer or vendor outreach as directed
- Maintain accurate logs and records in company systems
- Collaborate across departments to ensure communication and follow-through
What We’re Looking For
Required
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Excellent verbal and written communication skills
- Strong organizational ability and attention to detail
- Reliable, punctual, and self-directed — able to manage priorities without constant supervision
- Professional, composed demeanor in all interactions
- Collaborative mindset and a genuine willingness to pitch in where needed
Preferred
- 1–3 years of administrative, receptionist, or office coordination experience
- Experience supporting multiple departments or managers simultaneously
- Comfortable learning new software platforms quickly
- Familiarity with QuickBooks or similar accounting software a plus
- Background in manufacturing, distribution, or a related industry welcome but not required
