We are a growing, manufacturing company looking for a reliable, detail-oriented Administrative Assistant / Receptionist to serve as the face of our office and the backbone of our day-to-day operations. This is a hands-on role for someone who takes pride in keeping things running smoothly, communicates with professionalism and warmth, and genuinely enjoys supporting a busy team.

Key Responsibilities

Front Office & Reception

  • Serve as the first point of contact for visitors, vendors, and callers — projecting a professional, welcoming image
  • Manage a multi-line phone system; route calls and messages promptly and accurately
  • Maintain the reception area and shared office spaces in a neat, organized manner
  • Manage incoming and outgoing mail, packages, and deliveries

Administrative Support

  • Provide day-to-day administrative support to management and cross-functional teams
  • Prepare, format, and distribute correspondence, documents, and reports daily, weekly, monthly
  • Maintain organized filing systems — both electronic and physical
  • Order and track office supplies
  • Assist with data entry, record-keeping, and general office tasks

Cross-Departmental Coordination

  • Support office, sales, and operations teams with administrative tasks and light research
  • Assist with occasional customer or vendor outreach as directed
  • Maintain accurate logs and records in company systems
  • Collaborate across departments to ensure communication and follow-through

What We’re Looking For

Required

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational ability and attention to detail
  • Reliable, punctual, and self-directed — able to manage priorities without constant supervision
  • Professional, composed demeanor in all interactions
  • Collaborative mindset and a genuine willingness to pitch in where needed

Preferred

  • 1–3 years of administrative, receptionist, or office coordination experience
  • Experience supporting multiple departments or managers simultaneously
  • Comfortable learning new software platforms quickly
  • Familiarity with QuickBooks or similar accounting software a plus
  • Background in manufacturing, distribution, or a related industry welcome but not required
