Overview
We are seeking a motivated and organized Receptionist/ Accounting Clerk to join our team. This role is essential in ensuring smooth front desk operations and providing exceptional customer service. The ideal candidate will possess strong administrative skills, be proficient in various office software, and have the ability to manage multiple tasks efficiently. Bilingual candidates are encouraged to apply, as effective communication is key in this position.

Duties

  • Greet and assist visitors in a friendly and professional manner at the front desk
  • Manage multi-line phone systems, directing calls appropriately while maintaining excellent phone etiquette
  • Perform data entry tasks accurately and efficiently, including filing and maintaining organized records
  • Daily Invoicing and emailing to customers.
  • Complete the freight allowance report.
  • Upload all invoices to EDI sites.
  • Process Customer Credit Cards
  • Issue RMA’s as requested.
  • Track and file all PTO for employees.
  • Maintain and order office supplies.
  • Stuff/Mail Mailers as needed.
  • Shred Documents as requested.
  • Utilize QuickBooks for basic bookkeeping tasks as needed
  • Provide clerical support including typing, proofreading documents, and managing correspondence
  • Maintain office supplies inventory and assist with ordering when necessary
  • Support calendar management for appointments and meetings
  • Handle customer inquiries and provide support with a focus on customer service excellence
  • Assist with administrative tasks as required to ensure smooth office operations

Qualifications

  • Previous office experience preferred, with a background in clerical or administrative roles
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Strong organizational skills with the ability to manage time effectively
  • Excellent typing skills with attention to detail for proofreading documents
  • Familiarity with front desk operations and customer support practices
  • Experience with multi-line phone systems is a plus
  • Bilingual abilities are highly desirable to enhance communication with diverse clientele
  • Experience as a dental or medical receptionist is beneficial but not mandatory
  • Personal assistant experience is a plus for supporting executive staff
