Purpose of the Role
The Receptionist serves as the first point of contact for students, staff, visitors, and external stakeholders. The post-holder will ensure the smooth running of front-of-house operations, providing professional, friendly, and efficient administrative support.
The role also supports student services by assisting with the monitoring of student attendance, maintaining accurate records, and contributing to a positive student experience across the campus.
Main Duties and Responsibilities
Front-of-House & Customer Service
- Welcome students, staff, and visitors in a professional and courteous manner.
- Manage emails, and general enquiries, directing them appropriately.
- Keep the reception area tidy, welcoming, and professional at all times. Issue visitor passes and ensures compliance with campus security procedures.
- Receive, log, and distribute incoming post and deliveries in a timely and organised manner.
Student Support
- Provide administrative support to the Attendance and Intervention Team, including monitoring and logging student attendance.
- Provide basic information to students regarding campus facilities, and academic processes.
Administrative Support
- Support administrative tasks including filing, scanning, photocopying, and data entry.
- Maintain accurate student and visitor records in line with institutional policies.
- Assist with enrolment, induction, and registration activities during peak periods.
- Coordinate room bookings and support scheduling activities when required.
Communication & Coordination
- Report campus operational issues promptly to the Campus Academic Coordinator, ensuring appropriate follow-up where required.
- Liaise with academic teams, student services, and operations staff to ensure smooth campus operations.
- Assist in communicating important campus announcements to students.
- Provide general administrative support to Campus Managers and Academic Managers as required.
Compliance & Safeguarding
- Maintain confidentiality of student and staff information in accordance with GDPR regulations.
- Always follow safeguarding and health & safety procedures.
- Report incidents or concerns to the appropriate line manager promptly.
Standard Responsibilities
- Participate in performance reviews and training as required.
- Promote equality, diversity, and inclusion in all interactions.
- Undertake additional duties appropriate to the level of the role.
- Comply with all institutional policies and procedures.
