Overview:
We are seeking a highly organized, personable, and proactive individual to join our team in a dual role as a Receptionist and Part-Time Executive Assistant. This position is ideal for someone who thrives in a fast-paced environment, enjoys being the first point of contact, and can effectively support senior leadership with administrative tasks.
Experience in a marketing or creative environment is considered a strong asset.
Key Responsibilities:
Reception & Front Office Duties:
- Serve as the first point of contact for visitors, clients, and vendors
- Answer, screen, and direct incoming phone calls and emails
- Maintain a professional and welcoming front office environment
- Manage meeting room bookings and office supplies
- Handle incoming/outgoing mail and deliveries
Executive Assistant Support:
- Provide administrative support to executives and leadership team
- Manage calendars, schedule meetings, and coordinate appointments
- Assist with travel arrangements and itineraries
- Prepare documents, presentations, and reports as needed
- Support internal communications and coordination across teams
Qualifications:
- Previous experience in a receptionist, administrative, or executive assistant role preferred
- Experience in a marketing or creative environment is an asset
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Professional demeanor with strong interpersonal abilities
- Proficiency in Microsoft Office and/or Google Workspace
- Ability to handle confidential information with discretion
