We are looking for an experienced and dependable workplace guest services coordinator to support front desk operations. This is a Contract position focused on creating a detail-oriented visitor experience while assisting with mailroom coordination, workplace support, and day-to-day office services. The ideal candidate brings hospitality or reception experience, communicates confidently across teams, and is highly organized, punctual, and service-oriented.
Responsibilities:
• Welcome employees, guests, and vendors at the front desk while delivering a detail-oriented and positive experience for everyone entering the office.
• Manage visitor arrival procedures, including check-in, badge and lanyard distribution, and coordination with security to support smooth access to the workplace.
• Partner with internal hosts, security personnel, and event stakeholders to prepare for guest arrivals and ensure visitor protocols are consistently followed.
• Provide day-to-day assistance to employees in person and through Slack, serving as a reliable point of contact for workplace-related questions and support needs.
• Monitor and route incoming requests and service tickets, respond within established service expectations, and escalate issues to the appropriate workplace, IT, security, or management contacts when needed.
• Oversee mailroom activity by receiving, sorting, and distributing mail and packages, and support inventory handling for stored materials, swag requests, and office literature.
• Maintain reception and common areas by restocking office and restroom supplies, verifying approved music selections, and helping keep shared spaces organized and presentable.
• Perform routine workplace walkthroughs to identify maintenance or facility concerns, report findings promptly, and submit requests through the building ticketing process.
• Support onsite meetings and events by assisting with guest logistics, coat and luggage storage procedures, and general front-of-house coordination.wor
• Prior experience in a receptionist, front desk, hospitality, or customer-facing office support role.
• Strong customer service skills with the ability to interact effectively with employees, visitors, and external partners.
• Proficiency with Google Workspace, Microsoft Office tools, Slack, and Zoom in a business environment.
• Ability to manage multiple priorities, including visitor services, mail handling, ticket triage, and workplace support tasks.
• Dependable attendance and punctuality with a consistent commitment to being on time for scheduled shifts.
• Comfortable working with security procedures, visitor policies, and service level expectations in a detail-oriented office setting.
• Experience using ticketing or request-management systems such as Jira is preferred.
• Candidates based near the office or able to commute easily are preferred.
