Kenangan Coffee is looking for a meticulous Real Estate Admin Executive to manage our rapidly growing Malaysia market. This isn't just admin; it’s about ensuring our "Unicorn" pace is backed by flawless leasing and contract management. Based in Petaling Jaya, we are looking for a SAP expert with 2–3 years of experience who can navigate the complexities of local retail leasing with agility. Ideal Candidate Profile:
- Bachelor’s Degree in Real Estate, Estate Management, Business, or a related field.
- 2–3 years of hands-on experience in real estate administration preferably in F&B/ retail/ property management/ retail leasing.
- Proficient in SAP is a core requirement. You must be comfortable managing complex data within an ERP environment.
- Resourceful & Independent: You thrive with minimal supervision and take the initiative to find answers.
- Meticulous: High attention to detail regarding contract clauses and financial figures.
- Agile: Comfortable in a high-growth, fast-paced "unicorn" culture where priorities can shift quickly.
- Communication: Exceptional interpersonal skills to negotiate and follow up with landlords and cross-functional internal teams.
- Mobility: Willingness to travel as needed to support site-related tasks.
Job Role:
- Leasing & Contract Management: Verify site suitability and partner with the Legal team to facilitate seamless contract preparation and execution.
- Site Set-up Administration: Liaison with necessary utilities agencies on all administrative set-up for all secured retail site
- SAP & Financial Administration: Manage real estate data entry and tracking within SAP. Review invoices, oversee timely payments to landlords/vendors, and ensure all financial touchpoints align with company policy.
- Cross-Functional Coordination: Synchronize opening plans, fit-out requirements, and timelines between Landlords and internal Operations/Project teams.
- Project Monitoring: Track project milestones to ensure timely store openings and provide administrative support for ad-hoc real estate projects.
- Database Integrity: Maintain an accurate, up-to-date master lease database, proactively managing contract renewals, terminations, and rental adjustments.
- Stakeholder Liaison: Serve as a key point of contact for landlords to ensure lease accuracy and resolve administrative discrepancies.
