Job Summary:

Rich Specialty Trailers is seeking a full‑time Purchasing Assistant & Data Entry Administrator to support our purchasing department and office operations. This role combines purchasing support, inventory coordination, with data entry, and general administrative duties. You will work closely with management, production, and multiple office departments to maintain accurate records, organize information, and ensure smooth material flow for our specialty trailer manufacturing operations.

This is a fast‑paced, detail‑oriented position with opportunities to learn purchasing, inventory management, and cross‑departmental office processes.

Core Responsibilities

  • Purchasing Support — Prepare and issue purchase orders, confirm delivery dates, quantities, and pricing.
  • Inventory Coordination — Maintain stock levels, perform cycle counts, expedite material shortages, and help source materials for product changes or specialty builds.
  • Data Entry — Enter and update data for purchasing, sales, service, and production departments with high accuracy.
  • Administrative Support — Maintain digital and physical filing systems, assist with basic bookkeeping tasks, and support office departments when understaffed.
  • Vendor & Department Communication — Communicate daily with suppliers, production teams, and management.
  • Cost & Process Improvement — Identify cost‑saving opportunities and update supplier or material information as needed.
  • Customer Interaction — Provide phone and in‑person communication with clients when required.

Required Skills & Experience

  • High school diploma required.
  • 2+ years administrative or office support experience with strong data entry accuracy.
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Access).
  • Strong typing skills, time management, and ability to multitask under pressure.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and a proactive, problem‑solving mindset.
  • Ability to maintain confidentiality and professionalism.
  • Stable work history and excellent attendance.

Physical & Environmental Requirements

This role includes administrative work in both the office and production plant. You must be able to:

  • Move throughout the production floor and exterior storage yard.
  • Climb steps or ladders to inspect or document materials.
  • Occasionally lift components or supplies up to 50–100 lbs depending on task.
  • Work in environments with noise, dust, chemicals, heavy equipment, and machinery.
