Project Coordinator Job Description

The Project Coordinator will support construction project management and field teams by managing documentation, coordinating logistics, and assisting with day‑to‑day operations across multiple job sites. This role ensures projects run smoothly by maintaining accurate records, facilitating communication among stakeholders, and helping keep schedules, materials, and administrative tasks on track.

Responsibilities

  • Support Project Managers with administrative and operational tasks across active construction projects.
  • Process and track RFIs, change orders, and submittals to ensure timely completion and proper documentation.
  • Maintain organized and up‑to‑date project files, logs, and project correspondence.
  • Coordinate closely with field teams and foremen to assist with scheduling, material deliveries, and project timelines.
  • Assist in managing vendor communication and ensure materials are delivered in line with project needs and schedules.
  • Monitor project progress and follow up on outstanding items to help keep projects on track and within scope.
  • Communicate effectively with internal teams, subcontractors, and suppliers to support smooth project execution.
  • Support invoice‑related tasks and general project administration as needed.
  • Utilize project management and accounting tools such as Procore, Quick Books, and Excel to support project tracking and reporting.

Essential Skills

  • Prior experience in construction, preferably in a project coordination or administrative support role.
  • Strong understanding of construction documentation processes, including RFIs, submittals, and change orders.
  • Experience using Quick Books for project or construction‑related administration.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills with the ability to collaborate across office and field teams.
  • Ability to coordinate scheduling, materials, and logistics across multiple job sites.
  • Experience with project coordination tasks such as RFIs, scheduling, and invoice support.

Additional

Skills & Qualifications

  • Bilingual language skills are preferred to support communication with diverse field teams and vendors.
  • Familiarity with Procore or similar construction project management software.
  • Experience working in a family‑owned or closely knit construction environment is a plus.
  • Strong attention to detail and a proactive approach to resolving issues.
  • Ability to build positive working relationships with subcontractors, suppliers, and internal stakeholders.

Work Environment

This role is fully on site, working five days per week in a construction‑focused environment that supports both office and field operations. The Project Coordinator will regularly interact with project managers, foremen, field crews, subcontractors, and suppliers, and will use tools such as Procore, Quick Books, and Microsoft Office to manage project information. Job Type & Location

This is a Contract to Hire position based out of Morristown, NJ.

Pay and Benefits

The pay range for this position is $25.00 – $35.00/hr.
