About Us:
The Manitoba Arts Council (MAC) is an arms-length agency of the Province of Manitoba, established in 1965 “to promote the study, enjoyment, production and performance of works in the arts.” The Council makes awards to professional arts organizations and individuals in all art forms.

Position Summary:
Program Administrators are integral to MAC’s granting process. They provide administrative support in every phase of the lifecycle of a grant and answer client questions through MAC’s Help Desk. They work in a complex environment with a wide range of stakeholders and have a high-level understanding of MAC’s programs, online granting system, and the needs of MAC’s clients.

Program Administrators report to the Director of Granting and work collaboratively within a two-person Helpdesk Team.

Key Responsibilities:

Respond, guide and assist clients with queries related to: the Manitoba Arts Council’s online granting system;financial assistance for disability-related supports and services;the provision of alternate formats for applicants who have limited internet access; andgeneral MAC inquiries.

Carry out tasks for assigned application intakes by coordinating the administration of Manitoba Arts Council’s peer assessment process; responding to queries from assessors related to the process; and making payment arrangements for peer assessment panels.

Generate reports for internal process and external communication and accurately entering, retrieving, and tracking data in each stage of the granting cycle.

Work closely with the Granting and Data Analyst to provide support to other MAC staff through documentation and training.

Work with other staff to identify and revise inconsistencies and/or updates related to MAC’s program guidelines, procedures, and templates used in MAC’s online granting system.

Support archiving and other granting administrative duties as assigned.

Support MAC events and serve as backup for other staff as assigned.

Qualifications:

Excellent administrative, organizational, and time management skills.

Demonstrated interpersonal skills, patience, and tenacity, with the ability to work with a diverse set of individuals internally and externally and provide first-rate client service.

Excellent oral and written communication skills in English.

Ability to explain technical issues verbally and in writing to non-technical audiences.

Intermediate experience using the Microsoft Office Suite; in particular, advanced knowledge of Excel.

Understanding of web security and of the key challenges and threats faced by any database stored in the cloud.

Familiarity with Manitoba’s arts and cultural community.

Would be an asset:

French language abilities.

A basic understanding of web design and HTML.

Some experience with relational databases and familiarity with SQL.

Condition of Employment:

Must be legally entitled to work in Canada.

Compensation:
This full-time position has a salary range of to per year. MAC participates in Manitoba’s Civil Service Superannuation Board (Pension Plan) and offers a comprehensive health benefits plan.
