Overview

The Healthy Choices Program Administrative Support position plays a critical role in supporting the Healthy Choices Program Director (Nutritionist) by ensuring efficient program operations, strong community partnerships, and accurate administrative and financial processes. This full-time position supports the delivery of nutrition services and food voucher distribution under the New York State 1115 Waiver Food Voucher Program, helping Life Choices Center meet the needs of both Center clients and eligible Medicaid members with professionalism, accuracy, and compassion.

ESSENTIAL FUNCTIONS

  • Build, establish, and maintain professional relationships with grocery retailers participating in the NYS 1115 Waiver Food Voucher Program, including conducting onsite visits as needed.
  • Coordinate timely fulfillment and delivery of prescribed food vouchers for Life Choices Center clients and eligible Medicaid members.
  • Serve as a primary administrative contact for clients and partner agencies regarding food voucher distribution and related logistics.
  • Provide administrative and logistical support for the Nutrition Education and Counseling component of the Healthy Choices Program under the leadership and direction of the Program Director (Nutritionist), in alignment with NYS 1115 Waiver requirements.
  • Assist with scheduling, coordination, and client communication related to nutrition education sessions and individualized nutrition counseling.
  • Accurately document nutrition education and counseling-related activities within the Unite Us platform and Life Choices Center’s internal record-keeping systems, as required by the NYS 1115 Waiver initiative.
  • Ensure documentation meets all requirements for the NYS 1115 Waiver Food Voucher Program and Nutrition Education and Counseling components.
  • Complete timely invoicing for all billable services and reimbursements through the Unite Us platform and NYS 1115 Waiver program processes.
  • Monitor reimbursement status and follow up as needed to ensure accurate and timely payment.
  • Stay informed of updates, policy changes, and workflow adjustments as directed by the Social Care Network and Life Choices Center leadership.
  • Collaborate closely with the Healthy Choices Program Director and other Center staff to support efficient program operations.
  • Maintain organized records and files related to vendor relationships, voucher distribution, invoicing, and reporting.
  • Uphold confidentiality and comply with HIPAA, data security standards, and Life Choices Center policies and procedures.
  • Represent Life Choices Center with professionalism in communications with clients, vendors, and community partners.
  • Participate in staff meetings, trainings, and program-related activities as required.
  • Perform other job-related duties as assigned.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to learn new technology platforms.
  • Ability to manage multiple responsibilities, deadlines, and workflows simultaneously.
  • A dependable, self-motivated, and responsible work ethic.
  • Willingness to adapt to changing workflows and program requirements as directed by leadership.
  • Reliable personal transportation and the ability to travel locally to conduct site visits with grocery retailers and community partners.
  • Experience working in administrative support, program coordination, healthcare, social services, or a related field preferred.

Pay: $19.00 – $21.00 per hour
