General Purpose

The Applicant Processing Coordinator is responsible for processing all undergraduate applications, including degree, non‑degree, and diploma programs. The role handles electronic transfer of internal and external applications received through the Ontario Universities’ Application Centre (OUAC) and other sources, reviews and cross‑references each application and supporting documentation to ensure files are accurate and complete. The coordinator supports a variety of applicant types such as visiting students, out‑of‑province high school applicants, mature students, and program and semester entry amendments.

Together with the Applicant Processing team, over 8,000 applications and more than 50,000 supporting documents are processed each admission cycle.

Duties and Responsibilities

Process applications and supporting documentation from all applicant groups in a timely and accurate manner. Work closely with Admission Counsellors, the Manager of Applicant Processing, Secondary School Student Advisor, and the Assistant and Associate Registrars to ensure efficient and decisive management of applicant files from receipt through post‑admission decision. Serve as the first point of contact for prospective and current applicants, providing clear explanations of complex admission requirements and procedures for all undergraduate programs.

Respond to a high volume of e‑mail, telephone, and in‑person inquiries with tact, diplomacy, and professionalism. Assist in staffing the Admission Services Front Desk, handling inquiries from parents, applicants, secondary school personnel, and university faculty. Attend and support major recruitment events as needed.

Requirements

• Two‑year college diploma plus six (6) months of relevant experience, preferably in an academic environment, or an equivalent combination of education and experience.
• Experience in a post‑secondary admissions environment is preferred.
• Strong administrative skills, attention to detail, and excellent oral and written communication.
• Ability to work independently and collaboratively.
• Proficiency in Microsoft Office, Student Information Systems (Ellucian/Colleague), and Document Imaging Systems (Image Now/Perceptive Content).
• Excellent organizational skills and ability to triage a high volume of inquiries with tact and accuracy.
• Knowledge of the University of Guelph’s admission policies and procedures is an asset.
• Flexibility to work some evenings and weekends.
• Ability to perform in a fast‑paced, high‑pressure, deadline‑driven environment while adhering to University policies and procedures.
