Position

Police Administrative Office (Community Services) – handling routine, non-hazardous police office activities. The method involves a 24‑hour operation with shift work including swing, graveyard, weekend, and holiday shifts.

Ideal Candidate

The Ideal Candidate will possess an in‑depth knowledge of law enforcement organizational structure, excellent communication and conflict resolution skills, and strong writing abilities. They must be computer literate with proficiency in report management, MS Outlook, and Excel, and possess a solid work ethic, multitasking capability, and the ability to prioritize and maintain complex filing systems.

Duties

  • Process and maintain police records, files, forms, and manuals; issue, receive, type, and record applications, permits, and citations.
  • Process warrants, permits, citations; collect and process fees and charges; enter and modify records in state and nationwide systems.
  • Handle police reports: receive, review, copy, distribute, file, and correct as necessary.
  • Log subpoenas; post and distribute department mail; answer multi‑line telephone system and provide information or route calls.
  • Greet public, provide department information, and answer routine questions.
  • Type, proofread, and process documents – general correspondence, memos, legal documents.
  • Operate office equipment and maintain files and databases; perform fingerprint services and live‑scan digital printing.
  • Assist in the transportation of property and evidence; support auction preparations; purge files; provide relief for full‑time Community Services Officers.
  • Maintain inventories, order supplies, process cash and fees, prepare licenses and permits, and issue invoices.
  • Prepare monthly statistical reports and background/record checks.
  • Maintain attendance and provide flexibility for shift work.

Essential Job Functions

  • File routine reports and correspondence; general clerical duties.
  • Respond to citizen information requests and assistance.
  • Retrieve and input data into computer terminals.
  • Accumulate data and prepare monthly statistical reports.
  • Process requests for copies of reports from citizens and criminal justice agencies.
  • Inventory supplies, order as needed.
  • Process monies and fees via cash register; prepare and issue bills.
  • Complete background and record checks; process voluntary bookings and court‑ordered registrations.
  • Assist in fingerprinting and live‑scan digital printing.
  • Assist with property evidence transportation, auction preparation, and file purging.
  • Provide relief for Community Services Officers and maintain consistent attendance.

Qualifications

  • Education: High school diploma or equivalent.
  • Experience: One year of general administrative office work experience or six months in a law‑enforcement agency; public interaction preferred.
  • License: Valid California driver’s license required upon hire.

Benefits

Compensation: $4,281.32 – $5,203.98 per month.
