We are excited to find a highly motivated and organized Front Office/Reception Staff member. We are on the lookout for someone who is a skilled multi-tasker, and can balance competing needs of customers, interacting effectively with customers on the phone, in the office, and via SMS/email.
The ideal candidate will be comfortable with animals, including large dogs, and confident in transporting dogs from the front office to our Boarding facility, conducting brief physical assessments of the dogs, and familiar enough with dog behavior to complete brief interviews to preliminarily determine dog’s sociabilities and play styles.
Communication is the cornerstone of success, and ideal candidates will communicate effectively with clients, co-workers and management, and appropriately document all concerns, updates, and relevant information.
ROLE AND RESPONSIBILITIES
As an Office Receptionist, you should anticipate…
- Answering phone calls and emails, checking clients in and out of the facility, taking detailed notes regarding dog information (ex: feeding instructions, medications, allergies, behavioral traits, on-site property), making reservations, managing waitlists, and processing new clients.
- Managing the Grooming calendar, and following procedures to ensure Grooming staff has enough time to complete services.
- Providing caring, friendly, and fun customer interactions and building relationships, deescalating any conflict, and forwarding all complaints to the resort Client Experience Manager.
- Building relationships to further customer trust by listening, maintaining integrity, continuous communication, and presenting yourself professionally through appearance and actions.
- Ensuring that all office and customer standards and policies are maintained. Share suggestions for improvement of office and customer standards and policies to the Resort Managers. Collaboration and new ideas are valued!
- Maintain high resort standards by caring for office equipment, supplies, and physical space, taking out trash, sweeping floors, etc. as needed. Report deficiencies and needs to the manager.
- Transporting dogs from care of owner to boarding facility, asking questions about dogs behavior and sociability to elicit necessary information, completing Watchchecks and Initial Watchchecks physically checking dogs.
ATTRIBUTES OF A SUCCESSFUL RECEPTIONIST
- High level of attention to detail.
- Ability to manage a variety of inputs simultaneously, comfort with managing phone calls, emails, texts and other methods of communication.
- Self-motivated, able to work without supervision.
- Proactive, jumping in on necessary tasks before being told to do so.
- Excellent time management skills.
- Comfort with client care, communication with clients in a friendly and responsive manner.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Prior experience in a face-to-face customer service position.
- Must be able to confidently navigate Mac Operating Systems, Microsoft Office, Google Docs, task management programs, Acrobat and online database management. Strong computer skills are an absolute must. Strong organizational skills. Experience working with animals is a plus.
ADDITIONAL NOTES
- The position is hourly and requires an availability of 20 hours/week minimum. Requires availability during weekends and holidays due to increased reservations. One mandatory monthly staff meeting is required, from 6:45pm-8:15pm on Thursdays. Meeting schedule posted for the year for all employees to access. Time off requests will be handled on an individual basis and are required to be submitted before schedules are posted and at minimum 2 weeks in advance.
- Typical Work Week: shift times starting between 7:15 am – 9:15 am with end of shift between 4:15 pm – 6:15 pm, for 8 hour shifts with 55 minute daily lunch breaks. Working at least one of the following; Saturday, Sunday.
- This position requires employees to keep a resort-like appearance that is clean, professional, and within the uniform policies of the Resort.
