Personal Assistant / Operations Coordinator — Electrical Contracting

The Role
This is a hybrid personal assistant / operations role reporting directly to the owner. You’ll be the person who makes sure things don’t fall through the cracks — handling scheduling, communications, follow-ups, documentation, and day-to-day administrative work across both the business and the owner’s plate. If you’re organized, proactive, and good at taking ownership without being micromanaged, you’ll thrive here.

What You’ll Do

  • Manage calendars, scheduling, and appointment coordination
  • Handle inbound and outbound communications (calls, texts, emails) and keep the inbox under control
  • Coordinate with field technicians and customers on job scheduling and follow-ups
  • Track tasks, deadlines, and open items — and chase them down to completion
  • Maintain records, files, and documentation in our systems (Housecall Pro and related tools)
  • Draft correspondence, letters, and routine documents
  • Run errands and handle personal/administrative tasks for the owner as needed
  • Help identify and clean up operational bottlenecks

What We’re Looking For

  • 2+ years in an administrative, executive assistant, operations, or office management role
  • Excellent written and verbal communication
  • Highly organized with strong attention to detail and follow-through
  • Comfortable with technology and quick to learn new software and tools
  • Self-starter who takes ownership and solves problems without hand-holding
  • Reliable, discreet, and trustworthy
  • Valid driver’s license and reliable transportation

Nice to Have

  • Experience in the trades, home services, or a small business environment
  • Familiarity with Housecall Pro, CRM systems, or scheduling software
  • Bookkeeping or light financial admin experience
  • AI experience

Compensation & Schedule

  • $15-$35 Per Hour depending on Experience
  • Full-time, Monday–Friday
  • Based in Fairfax, VA (in-office)
