The Role
This is a hybrid personal assistant / operations role reporting directly to the owner. You’ll be the person who makes sure things don’t fall through the cracks — handling scheduling, communications, follow-ups, documentation, and day-to-day administrative work across both the business and the owner’s plate. If you’re organized, proactive, and good at taking ownership without being micromanaged, you’ll thrive here.
What You’ll Do
- Manage calendars, scheduling, and appointment coordination
- Handle inbound and outbound communications (calls, texts, emails) and keep the inbox under control
- Coordinate with field technicians and customers on job scheduling and follow-ups
- Track tasks, deadlines, and open items — and chase them down to completion
- Maintain records, files, and documentation in our systems (Housecall Pro and related tools)
- Draft correspondence, letters, and routine documents
- Run errands and handle personal/administrative tasks for the owner as needed
- Help identify and clean up operational bottlenecks
What We’re Looking For
- 2+ years in an administrative, executive assistant, operations, or office management role
- Excellent written and verbal communication
- Highly organized with strong attention to detail and follow-through
- Comfortable with technology and quick to learn new software and tools
- Self-starter who takes ownership and solves problems without hand-holding
- Reliable, discreet, and trustworthy
- Valid driver’s license and reliable transportation
Nice to Have
- Experience in the trades, home services, or a small business environment
- Familiarity with Housecall Pro, CRM systems, or scheduling software
- Bookkeeping or light financial admin experience
- AI experience
Compensation & Schedule
- $15-$35 Per Hour depending on Experience
- Full-time, Monday–Friday
- Based in Fairfax, VA (in-office)
